We are seeking a friendly, organized, and compassionate Medical Receptionist to serve as the first point of contact for patients visiting our healthcare clinic. The ideal candidate will be responsible for managing front-desk operations, scheduling appointments, handling patient inquiries, maintaining medical records, and ensuring a smooth and welcoming patient experience.
This role requires excellent communication skills, attention to detail, professionalism, and the ability to maintain confidentiality while working in a fast-paced healthcare environment.
Key Responsibilities: Front Desk & Patient Reception
- Welcome patients and visitors courteously and professionally.
- Register patients and verify personal and medical information.
- Check patients in and out for appointments.
- Manage patient flow and coordinate with healthcare providers.
- Maintain a clean, organized, and professional reception area.
Appointment Scheduling & Coordination
- Schedule, reschedule, and confirm patient appointments.
- Manage provider calendars and appointment availability.
- Send appointment reminders and follow up on missed appointments.
- Coordinate referrals and follow-up visits as required.
Patient Communication
- Answer incoming phone calls, emails, and patient inquiries.
- Provide information regarding clinic services, operating hours, and procedures.
- Address patient concerns and direct inquiries to the appropriate staff members.
- Ensure a positive and supportive patient experience.
Medical Records & Documentation
- Maintain accurate patient records and update information as needed.
- Assist with filing, scanning, and organizing medical documents.
- Ensure confidentiality and security of patient information in compliance with clinic policies and regulations.
- Support electronic medical record (EMR/EHR) management.
Billing & Administrative Support
- Collect patient payments and issue receipts.
- Assist with invoicing, billing inquiries, and insurance documentation when applicable.
- Maintain daily cash and payment records.
- Support general administrative tasks, including data entry and report preparation.
Clinic Operations Support
- Coordinate communication between patients, physicians, nurses, and other healthcare staff.
- Monitor and replenish reception and office supplies.
- Assist with maintaining clinic schedules and operational efficiency.
- Support special projects and administrative initiatives as assigned.
Qualifications & Experience
- High school diploma or equivalent; additional certification in medical administration is an advantage.
- 1–3 years of experience in a receptionist, front desk, customer service, or healthcare administration role.
- Experience in a medical clinic, hospital, or healthcare setting is preferred.
- Familiarity with electronic medical records (EMR/EHR) systems is an asset.
- Proficiency in Microsoft Office and general computer applications.
