ABOUT THE ROLE
We are looking for a highly capable, tech-forward Executive Assistant to support the Director's office. This role demands sharp organizational instincts, sound judgment, absolute discretion, and comfort operating in a fast-paced, high-visibility environment. The ideal candidate is someone who has evolved with the modern EA function — combining traditional executive support excellence with fluency in AI-powered productivity tools to drive efficiency at the leadership level.
KEY RESPONSIBILITIES
- Own end-to-end management of the Director's calendar, scheduling, and appointments, proactively resolving conflicts and prioritizing based on business impact.
- Act as the primary point of contact for internal and external stakeholders on behalf of the Director.
- Leverage AI tools (e.g., ChatGPT/Claude, AI scheduling assistants, AI-powered transcription and summarization tools) to streamline meeting preparation, correspondence drafting, research, and reporting.
- Prepare board-level presentations, briefing documents, MIS reports, and meeting minutes with high accuracy.
- Manage confidential communications, contracts, and sensitive organizational information with complete discretion.
- Coordinate complex domestic and international travel itineraries, including visas, logistics, and contingency planning.
- Drive follow-ups on action items, ensuring timely closure of deliverables across departments.
- Organize and manage high-stakes meetings, offsites, and stakeholder engagements.
- Maintain and continuously improve digital filing, documentation, and knowledge-management systems.
- Draft, edit, and proofread executive correspondence, official communication, and reports.
- Anticipate the Director's needs and proactively manage priorities with minimal supervision.
- Handle ad hoc strategic and administrative tasks as required by the Director's office.
REQUIREMENTS
- Bachelor's degree required; MBA or equivalent professional qualification preferred.
- Minimum 7 years of experience as an Executive Assistant, Chief of Staff, or in a comparable senior leadership-support role.
- Demonstrated hands-on experience using AI tools for productivity, scheduling, research, drafting, and communication (please specify tools used in your application).
- Advanced proficiency in MS Office / Google Workspace, calendar management platforms, and CRM or task-management tools.
- Excellent written and verbal communication skills, with strong command over business correspondence.
- Exceptional organizational skills with the ability to multitask across competing priorities under time pressure.
- High degree of integrity, confidentiality, and professional maturity.
- Prior experience supporting C-suite/Director-level leadership strongly preferred.
- Based in or willing to relocate to Mumbai; able to commute reliably to the Andheri East (Chakala Metro) office.
- Willingness to work 6 days a week, 10:00 AM to 7:00 PM, with flexibility for extended hours as business needs demand.
