ROLE DESIGNATION: Senior/ Manager Commercial Operations & Sales Coordinator (Preferred Pharma Background)
ROLE OBJECTIVE:
To act as the central coordination and commercial support function for the national sales team by ensuring smooth order processing, distributor coordination, sales reporting, payment tracking, documentation control, customer support, and commercial discipline across Pharma and Healthcare divisions.
The role will support the sales team in improving execution efficiency, response time, reporting accuracy, payment follow-ups, and overall sales process discipline.
We need someone who can bring: discipline + follow-through + documentation + coordination.

Location: Mumbai
Profile:
Minimum 10 year experience in Sales/ Commercial Co-ordination in Pharma, Healthcare, Disinfectants and is good in ERP, Excel and CRM.
Core Responsibilities (KRAs):
1. Sales Coordination & Order Management Responsibilities:
- Coordinate with ASMs/RSMs for order processing
- Ensure timely order entry and dispatch coordination
- Track pending orders and delivery status
- Coordinate urgent dispatches with operations
2. Distributor Coordination & Support:
- Maintain distributor database
- Track distributor onboarding documentation
- Monitor distributor billing & outstanding status
- Coordinate LOAs and customer authorization letters
- Track secondary sales reporting
3. Payment Follow-Up & Commercial Discipline:
- Daily follow-up on overdue payments
- Coordinate with sales + finance for collections
- Maintain ageing tracker
- Escalate high-risk outstanding cases
- Track credit limit utilization
4. Sales MIS & Reporting:
- Maintain daily/weekly/monthly sales MIS
- Generate region-wise target vs achievement reports
- Maintain pipeline tracker
- Support review meetings
5. Documentation & Compliance Control:
- Maintain agreements, LOAs, approvals
- Track expiry/renewal dates
- Ensure document completeness
- Maintain customer/distributor master data
6. Customer Coordination & Complaint Support:
- Coordinate customer queries
- Track complaints/service requests
- Coordinate replacement/claims
- Support institutional accounts documentation
7. Sales Process Discipline & SOP Enforcement:
- Ensure sales team follows reporting SOPs
- Maintain visit/reporting trackers
- Follow up for secondary sales data
- Ensure documentation discipline
8. CRM Management & Sales Process Tracking
- Ensure timely and accurate updating of leads, opportunities, customer interactions, quotations, follow-ups, and sales pipeline data
- Track sales activities, visit reports, opportunity stages, and closure timelines
- Coordinate with ASMs/RSMs to ensure CRM hygiene and reporting discipline
- Generate CRM-based dashboards and management reports
- Monitor lead ageing, follow-up pendency, inactive opportunities, and pipeline movement
- Support implementation and adherence of sales process workflows within the CRM
- Assist management in sales forecasting and pipeline visibility through CRM analytics
