1. Financial Administration Profile
The manager acts as the financial custodian of the society, ensuring liquidity, accurate accounting, and fiscal discipline.
Core Responsibilities
- Billing & Ledger Management: Generating accurate monthly/quarterly maintenance bills (including sinking funds, repair funds, and non-occupancy charges) and maintaining flawless member ledgers.
- Defaulter Management: Tracking aging receivables, issuing statutory reminder notices, and calculating late payment interest according to society bye-laws.
- Expense & Vendor Payouts: Processing vendor invoices, managing a structured petty cash system, and ensuring dual-authorization protocols for banking transactions.
- Statutory Compliance (Taxation): Ensuring timely deduction and filing of TDS (Tax Deducted at Source), compliance with GST norms (if applicable), and timely payment of property and utility taxes.
- Audit Preparation: Preparing financial statements, balance sheets, and income-expenditure accounts for internal and statutory auditors.
Key Competencies & Tools
- Tools: Expertise in specialized society accounting software (e.g., MyGate, NoBrokerHood, ADDA, ApnaComplex) or standard accounting tools like Tally.
- Skills: Strong understanding of double-entry bookkeeping, budgetary control, and financial reporting.
2. Legal & Statutory Profile
The manager ensures the society operates safely within the framework of local cooperative laws, preventing litigation and protecting the managing committee from legal liabilities.
Core Responsibilities
- Statutory Register Maintenance: Keeping mandatory corporate records updated, including the Member Register (often called Form I), Share Transfer Register (Form J), Share Certificate books, and Nomination forms.
- Bye-Law Enforcement: Ensuring all decisions made by residents or the committee strictly align with the society’s registered bye-laws and the state's Cooperative Societies Act.
- AGM & Managing Committee Compliance: Drafting and circulating legally compliant agendas and notices for the Annual General Meeting (AGM) and Special General Meetings (SGM). Recording and finalizing official meeting minutes.
- Liaison with Authorities: Representing the society or assisting legal counsel at the Deputy Registrar’s office, local municipal corporations, and pollution control boards.
- Contract Management: Reviewing Service Level Agreements (SLAs) and legal contracts with external vendors (security, solar installation, lift maintenance) to protect the society's interests.
Key Competencies & Tools
- Knowledge Base: Deep familiarity with local housing acts (e.g., Maharashtra Co-operative Societies Act, Karnataka Apartment Ownership Act, etc.) and basic labor laws for society staff.
- Skills: Draftsmanship for legal notices, objectivity, and meticulous record-keeping.
3. Communication & Public Relations Profile
The manager is the official voice of the managing committee and the primary point of contact for residents, requiring high emotional intelligence and absolute transparency.
Core Responsibilities
- Grievance Redressal: Serving as the first line of defense for resident complaints regarding leakages, parking disputes, noise, and unauthorized alterations.
- Circulars & Notifications: Drafting clear, concise, and neutral official notices regarding water shutdowns, security updates, festive celebrations, or policy changes.
- Intercom & Digital App Moderation: Managing the community's digital communication channels, ensuring helpdesk tickets are routed to the right team and resolved within the stipulated Turnaround Time (TAT).
- Conflict De-escalation: Mediating disputes between neighbors or between residents and society staff without taking sides, ensuring community harmony.

- Skills: Exceptional written and verbal communication, active listening, patience, and a diplomatic approach to sensitive community issues.
