1. Position Details
- Job Title: Purchase Executive
- Department: Purchase / Procurement

- Reporting To: Purchase Manager / Purchase Head
- Experience: 3–5 Years
- Location: As per Company Requirement
2. Job Purpose
To manage and coordinate the procurement of raw materials, components, consumables, tools, spares, and other required materials while ensuring the right quality, quantity, price, and delivery in line with production and business requirements.
3. Key ResponsibilitiesA. Purchase & Procurement
- Handle day-to-day purchase activities based on Purchase Requisitions (PR) and material requirements.
- Identify suitable suppliers and obtain competitive quotations.
- Prepare RFQ (Request for Quotation) and compare supplier quotations.
- Negotiate price, payment terms, delivery schedules, and other commercial conditions.
- Prepare and release Purchase Orders (PO) after obtaining the required approvals.
- Follow up with suppliers to ensure timely delivery of materials.
- Coordinate with suppliers regarding shortages, delays, quality issues, and replacement materials.
B. Automobile Industry Procurement
- Procure automotive components, aluminium/raw materials, consumables, tools, machine spares, packing materials, and maintenance items.
- Understand material specifications, drawings, part numbers, grades, and technical requirements.
- Coordinate with Production, Quality, Stores, Maintenance, and Engineering departments for material requirements.
- Ensure uninterrupted material availability for production.
C. Supplier Management
- Identify and develop new suppliers based on quality, cost, delivery, and capability.
- Maintain an updated supplier database.
- Evaluate supplier performance periodically.
- Coordinate with Quality and Engineering teams for supplier development and corrective actions.
- Maintain good professional relationships with suppliers.
D. Cost Control & Negotiation
- Negotiate with suppliers to achieve the best possible purchase price.
- Monitor material price changes and market trends.
- Identify cost-saving opportunities through price negotiation, alternate suppliers, alternate materials, and annual rate contracts.
- Support management in achieving procurement cost reduction targets.
E. Inventory & Delivery Control
- Monitor stock levels and coordinate with Stores to avoid stock-outs and excess inventory.
- Track pending Purchase Orders and expected delivery dates.
- Prepare material pending and delivery follow-up reports.
- Ensure materials are available as per production schedules.
F. Documentation & Records
- Maintain Purchase Orders, quotations, comparative statements, supplier documents, and purchase records.
- Prepare Purchase Comparative Statements (PCS) and obtain necessary approvals.
- Maintain proper documentation for audits and internal records.
- Coordinate with Accounts regarding supplier invoices, payment terms, and purchase-related discrepancies.
4. Coordination
The Purchase Executive shall closely coordinate with:
- Production Department
- Quality Department
- Stores / Warehouse
- Maintenance Department
- Engineering Department
- Accounts / Finance Department
- Suppliers / Vendors
- Management
5. Required Skills
- Good knowledge of Purchase & Procurement processes.
- Knowledge of the automobile / auto-component manufacturing industry.
- Strong negotiation and vendor management skills.
- Good communication and interpersonal skills.
- Ability to analyze quotations and prepare comparison statements.
- Good knowledge of MS Excel, Word, and ERP / SAP systems.
- Good follow-up and problem-solving skills.
- Ability to work under pressure and meet deadlines.
6. Educational Qualification
- Diploma / Bachelor's Degree in Mechanical Engineering, Automobile Engineering, Production Engineering, Supply Chain Management, or a related field.
- Additional certification in Purchase / Procurement / Supply Chain Management will be an advantage.
7. Experience
- 3–5 years of relevant experience in Purchase / Procurement.
- Experience in an Automobile / Auto Components / Manufacturing Industry is preferred.
- Experience in purchasing raw materials, components, consumables, tools, spares, and production-related materials will be an advantage.
