Job Description: Travel Desk & Administration Executive
Job Summary
The Travel Desk & Administration Executive is responsible for managing all corporate travel arrangements, coordinating accommodation and transportation, maintaining travel records, and providing administrative support to ensure smooth day-to-day office operations.
Key Responsibilities
Travel Desk
- Coordinate domestic and international travel bookings, including flights, hotels, visas, insurance, and ground transportation.
- Compare travel options to ensure cost-effective and policy-compliant bookings.
- Prepare travel itineraries and communicate travel details to employees.
- Handle travel-related queries, cancellations, rescheduling, and emergency support.
- Process travel advances, reimbursements, and vendor invoices.
- Maintain travel records, reports, and expense data.
- Build and maintain relationships with travel agencies, airlines, hotels, and transport vendors.
- Ensure compliance with the organization's travel policy.
Administration
- Manage office administration activities and ensure smooth daily operations.
- Coordinate housekeeping, security, pantry, and facility maintenance services.
- Handle office supplies, stationery procurement, and inventory management.
- Coordinate courier services, mail distribution, and document management.
- Maintain vendor contracts, purchase orders, and service agreements.
- Support employee onboarding by arranging workstations, ID cards, and access requirements.
- Organize meetings, conferences, and company events, including venue and logistics coordination.
- Monitor office maintenance and coordinate repairs with vendors.
- Maintain administrative records, reports, and documentation.
- Ensure compliance with health, safety, and office administration policies.
Required Qualifications
- Bachelor's degree in Business Administration, Hospitality, Tourism, or a related field.
- 3–5 years of experience in travel desk and administration functions.
- Experience with travel booking portals and corporate travel management is preferred.
Required Skills
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Knowledge of travel booking systems and vendor management.
- Good negotiation and cost management skills.

Pay: ₹30,000.00 - ₹45,000.00 per month
