Position: Executive Assistant to Managing Director (EA to MD)
Department: Management / Administration
Reporting To: Managing Director
Job Purpose:
To provide high-level administrative, operational, and coordination support to the Managing Director by ensuring smooth execution of daily activities, effective communication, scheduling, reporting, and follow-up on business priorities.
Key Responsibilities:
- Calendar & Schedule Management
- Manage and maintain MD’s daily calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings and ensure timely reminders.
- Communication Management
- Handle correspondence, emails, calls, and communication on behalf of the MD.
- Draft professional letters, emails, notices, and presentations.
- Meeting Coordination
- Organize meetings and prepare agendas.
- Record MOM (Minutes of Meeting) and ensure timely follow-up of action points.
- Track completion of assigned tasks.
- Reporting & MIS
- Prepare daily, weekly, and monthly reports for management review.
- Maintain dashboards and MIS reports across departments.
- Coordination & Follow-up
- Coordinate with department heads for updates, project status, and deliverables.
- Ensure timely completion of management directives.
- Documentation & Records
- Maintain confidential files, records, and important documents.
- Prepare presentations, business reports, and management summaries.
- Travel & Event Management
- Arrange travel bookings, accommodation, and itineraries.
- Support management events and business visits.
- Operational Support
- Assist MD in strategic initiatives and special projects.
- Support decision-making through data collection and analysis.
- Confidentiality
- Maintain strict confidentiality of company information and management decisions.
Qualification:
Experience:
- 5-7 years of experience as Executive Assistant / Management Coordinator / Executive Secretary
Skills Required:
- Excellent communication skills
- Strong MS Excel, PowerPoint & MS Office knowledge
- Time management and multitasking
- Professional email drafting
- Coordination and follow-up skills
- High confidentiality and professional conduct
