About the Role
We are looking for a proactive and detail-oriented Purchase Executive – Spares & Bought-Out Parts to join our Purchase & Supply Chain team. The ideal candidate will be responsible for ensuring the timely procurement of plant spares and bought-out components at competitive prices while maintaining optimum inventory levels to support uninterrupted manufacturing operations.
This role requires strong coordination with internal departments, vendors, and stores to ensure material availability, cost optimization, and efficient procurement processes.
Key Responsibilities1. Procurement & Sourcing
- Procure plant spares, consumables, and bought-out parts from approved suppliers.
- Float RFQs (Request for Quotations), obtain competitive quotations, and prepare comparative statements.
- Negotiate with suppliers on pricing, payment terms, delivery schedules, and commercial conditions.
- Generate Purchase Orders (POs) through the ERP system and ensure timely order placement.
- Follow up with vendors to ensure on-time delivery of materials.
2. Inventory Management
- Monitor inventory based on predefined Minimum–Maximum (Min-Max) stock levels.
- Plan timely replenishment to avoid stock shortages and production delays.
- Coordinate with the Stores department to verify inventory records and consumption trends.
- Support inventory optimization by reducing excess and non-moving stock.
3. Vendor Management
- Build and maintain strong relationships with existing and new suppliers.
- Identify and develop alternate vendors for cost optimization and supply continuity.
- Evaluate vendor performance based on quality, delivery, responsiveness, and pricing.
- Maintain updated vendor databases and supplier documentation.
4. Documentation & Compliance
- Prepare Purchase Orders, quotation comparisons, vendor records, and procurement reports.
- Ensure all procurement activities comply with company policies and audit requirements.
- Coordinate with the Accounts department regarding invoice verification and vendor payments.
- Maintain proper documentation for internal and external audits.
5. Cross-Functional Coordination
- Coordinate with Production, Maintenance, Stores, and PPC teams to understand material requirements.
- Ensure timely availability of bought-out parts to support production schedules.
- Resolve procurement-related issues through effective communication with internal stakeholders and suppliers.
- Support continuous improvement and cost-saving initiatives within the purchase function.
Key Performance Indicators (KPIs)
- Timely procurement of spares and bought-out parts.
- Adherence to Min-Max inventory levels.
- Reduction in emergency or urgent purchases.
- Procurement cost savings and commercial improvements.
- Vendor delivery performance and quality compliance.
- Accuracy and timely completion of procurement documentation.
Required Skills & Competencies
- Basic understanding of procurement and supply chain processes.
- Knowledge of inventory control and Min-Max stock management.
- Good negotiation and vendor coordination skills.
- Strong analytical and problem-solving abilities.
- Proficiency in MS Excel and ERP software.
- Good communication and interpersonal skills.
- Ability to work in a fast-paced manufacturing environment.
- Attention to detail with strong organizational skills.
Educational Qualification
- B.Sc. (Preferred)
- Candidates with relevant technical or commerce qualifications and suitable experience may also be considered.
Experience
- 1–2 years of experience in Purchase, Procurement, or Supply Chain.
- Experience in purchasing plant spares, mechanical/electrical components, consumables, or bought-out parts will be preferred.
- Exposure to vendor negotiations, inventory management, and ERP-based procurement is desirable.
