Position Summary:
The Secretary to the CEO & MD provides high-level administrative and executive support to the top management of the hospital. The role involves managing schedules, communication, coordination of meetings, documentation, and confidential correspondence while ensuring efficient functioning of the CEO & MD’s office.
Key Responsibilities:
1. Executive Assistance & Office Management
- Manage and maintain the CEO & MD’s calendars, appointments, meetings, and travel itineraries.
- Screen and prioritize incoming calls, emails, and correspondence; respond independently where possible.
- Prepare meeting agendas, minutes, and follow-up on assigned action points.
- Coordinate internal and external meetings, including Board, Management, and Committee meetings.
- Handle confidential and sensitive information with discretion and integrity.
2. Communication & Coordination
- Liaise effectively with hospital departments, senior leadership, and external stakeholders.
- Draft, review, and edit official letters, reports, circulars, and presentations on behalf of the CEO & MD.
- Maintain effective communication channels between the Executive Office and other departments.
- Coordinate with external agencies, vendors, and visiting dignitaries as per direction.
3. Documentation & Record Management
- Maintain organized records of correspondence, reports, and key hospital documents.
- Track and monitor files, memos, and pending approvals from the CEO & MD’s office.
- Assist in the preparation of policy drafts, management reports, and confidential data summaries.
4. Scheduling & Travel Management
- Organize and coordinate official travel arrangements, bookings, and logistics for CEO & MD.
- Prepare travel itineraries and related expense claims in a timely manner.
5. Meeting Support
- Schedule management review meetings, departmental briefings, and audits as per instructions.
- Prepare presentations and support documents for internal and external meetings.
- Record minutes, track actionable points, and ensure timely follow-up.
6. Administrative and Support Functions
- Maintain visitor logs and coordinate appointments courteously and professionally.
- Support hospital events, seminars, and CSR initiatives as directed by management.
- Provide administrative support to the Board of Directors as required.
Pay: From ₹25,000.00 per month
