Job Summary
We are seeking a highly organized, proactive, and trustworthy Personal Assistant to provide comprehensive administrative and executive support to the Managing Director at the factory. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, preparing reports, and ensuring smooth communication between the MD and various departments.
Key Responsibilities
- Manage and maintain the Managing Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, prepare agendas, and record minutes of meetings.
- Act as a liaison between the MD and various departments to ensure timely follow-up on tasks and action items.
- Prepare reports, presentations, MIS, and business correspondence as required.
- Screen calls, emails, and other communications, prioritizing them appropriately.
- Track and monitor key projects, deadlines, and commitments assigned by the MD.
- Maintain confidential records, files, and documents with a high level of discretion.
- Coordinate factory visits, audits, customer meetings, and vendor interactions.
- Assist in preparing management reviews, operational updates, and performance reports.
- Organize travel arrangements, accommodation, and logistics for the MD.
- Follow up with department heads on pending actions and provide status updates to the MD.
- Perform other administrative and executive support duties as assigned.
Qualifications & Experience
- Bachelor's degree in Business Administration, Management, Commerce, or related field.
- 3–7 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting senior leadership.
- Experience in a manufacturing or factory environment will be preferred.
