Position Overview
The Facility Coordinator – Soft Services is responsible for managing and coordinating all soft services operations within assigned facilities to ensure a clean, safe, and well-maintained environment. This role requires strong organizational skills, vendor management capabilities, and basic technical knowledge to support seamless facility operations and enhance occupant satisfaction.
Key Responsibilities
Soft Services Management
Oversee daily soft services operations including housekeeping, waste management, pest control, landscaping, reception services, and catering. Ensure all services meet established quality standards and contractual requirements. Conduct regular inspections to verify service delivery and identify areas for improvement. Manage service schedules and coordinate with vendors to minimize disruption to building occupants.
Vendor Coordination and Management
Serve as primary point of contact for soft services vendors and contractors. Monitor vendor performance against service level agreements and KPIs. Review and approve invoices, tracking costs against budget allocations. Address service deficiencies promptly and implement corrective actions when needed.
Basic Technical Support
Coordinate with technical services teams for minor repairs and maintenance issues. Perform basic troubleshooting of building systems including lighting, HVAC controls, and access systems. Log and track work orders through the facilities management system. Escalate technical issues requiring specialized expertise to appropriate teams.
Health, Safety, and Compliance
Ensure all soft services activities comply with health and safety regulations. Maintain accurate records of inspections, incidents, and corrective actions. Coordinate emergency response procedures for soft services-related incidents. Support sustainability initiatives including waste reduction and recycling programs.
Stakeholder Communication
Respond to occupant requests and complaints professionally and promptly. Provide regular updates to facility management on service performance and issues. Coordinate with building management on special events, moves, and facility changes. Prepare reports on service delivery metrics and improvement initiatives.
Required Qualifications
Education and Experience
Bachelor's degree in facilities management, business administration, or related field, or equivalent work experience. 2-3 years of experience in facilities management, preferably in commercial real estate or corporate environments. Proven track record in vendor management and service coordination.
Technical Knowledge
Basic understanding of building systems including HVAC, lighting, plumbing, and electrical systems. Familiarity with building automation systems and facilities management software. Knowledge of health and safety regulations relevant to facility operations. Understanding of preventive maintenance principles and practices.
Skills and Competencies
Strong organizational and multitasking abilities with attention to detail. Excellent communication and interpersonal skills for stakeholder engagement. Problem-solving mindset with ability to respond quickly to operational issues. Proficiency in Microsoft Office Suite and facility management software platforms. Budget management and cost control awareness.
