About the Company
Water Store Kerala is a leading water purification products and services company operating across all 14 districts of Kerala, with a workforce of 130+ employees. The group includes Water Store (water purification solutions) Aquagrand (water purifier servicing), and AquaVigil (water testing laboratory). We are scaling rapidly and building systems and processes to support multi-branch growth.
Role Summary
The Admin cum Operations Manager will oversee day-to-day administration of the head office and coordinate operational activities across branches. The role combines office administration, HR coordination, vendor and facilities management, and operational oversight of service delivery, ensuring smooth functioning across departments and adherence to company SOPs.
Key Responsibilities — Administration
- Office Administration: Manage day-to-day office administration, facilities, housekeeping, and security at the head office and support branch offices
- Vendor Management: Handle vendor selection, negotiation, contracts, AMC renewals, and timely payments coordination
- Compliance & Documentation: Maintain statutory registers, licenses, insurance, and renewals; ensure compliance with applicable regulations
- Procurement & Assets: Oversee procurement of office supplies, assets, and consumables; maintain asset registers and stock records
- HR Coordination: Coordinate with HR on attendance, leave records, onboarding logistics, and staff welfare activities, performance management etc..
- Fleet & Travel: Manage company vehicles, travel arrangements, and logistics support for field teams.
Key Responsibilities — Operations
- Service Operations: Monitor daily service requests, installations, and complaint resolution across branches; ensure TAT and SLA adherence
- SOP Implementation: Implement and enforce company SOPs for sales, service, complaint handling, and escalations
- Field Coordination: Track technician deployment, productivity, and field performance in coordination with the Service Manager
- MIS & Reporting: Prepare daily/weekly/monthly MIS reports and dashboards for management review
- Cross-functional Coordination: Coordinate inter-department workflows between sales, service, accounts, and stores
- Branch Support: Support branch expansion activities — setup, staffing coordination, and process rollout
Key Performance Indicators (KPIs)
- Service TAT and complaint resolution within SLA
- Administrative cost control against budget
- Compliance and renewal timeliness (zero lapses)
- Accuracy and timeliness of MIS reporting
- Vendor cost savings and contract adherence
Qualifications & Skills
- Graduate in any discipline; MBA in Operations/Administration preferred
- 5–8 years of experience in administration and/or operations, preferably in a service, retail, or multi-branch business
- Strong working knowledge of MS Excel / Google Sheets, MIS reporting, and documentation
- Proven vendor management and negotiation skills
- Fluency in Malayalam and English; strong communication and coordination abilities
- Two-wheeler with valid driving license preferred for branch visits
