Role Purpose
Purchase Executive is responsible for managing procurement activities related to fabrication operations, ensuring timely availability of raw materials, consumables, and services at optimal cost, quality, and delivery standards. The role involves vendor management, negotiation, coordination with internal departments, and compliance with company procurement policies.
Key Responsibilities
Procurement & Sourcing
- Plan and execute procurement of fabrication raw materials such as MS/SS plates, pipes, sections, structural steel, forgings, castings, and bought-out items.
- Procure fabrication consumables including welding electrodes, wires, gases, cutting tools, fasteners, and paints.
- Develop and identify reliable vendors for fabrication materials and services.
Vendor Management & Negotiation
- Evaluate, develop, and maintain approved vendor lists.
- Negotiate prices, payment terms, delivery schedules, and contracts to achieve cost optimization.
- Monitor vendor performance on quality, delivery, and service responsiveness.
Purchase Operations
- Prepare and process Purchase Requisitions (PRs), Requests for Quotation (RFQs), Purchase Orders (POs), and amendments.
- Ensure timely follow-up with vendors for material delivery as per production schedules.
- Coordinate with Stores for material receipt, inspection, and documentation.
Cost Control & Budgeting
- Analyze market trends, material price fluctuations, and availability.
- Support budgeting and cost-reduction initiatives.
- Identify alternative materials or vendors to reduce procurement costs without compromising quality.
Coordination with Internal Teams
- Work closely with Production, Planning, Quality, Design, and Stores teams to understand material requirements.
- Coordinate with Quality for vendor inspections and material approvals.
- Resolve material shortages, rejections, and delivery issues.
Documentation & Compliance
- Ensure procurement activities comply with company policies and statutory requirements.
- Maintain accurate purchase records, vendor documents, and MIS reports.
- Support internal and external audits related to purchase and inventory.
Inventory & Planning Support
- Assist in inventory control, stock level monitoring, and material planning.
- Avoid over-stocking or stock-outs of critical fabrication materials.
Key Skills & Competencies
- Strong knowledge of fabrication materials and consumables.
- Excellent negotiation and vendor management skills.
- Ability to read basic fabrication drawings and BOMs.
- Strong analytical, communication, and coordination skills.
- Proficiency in ERP systems and MS Office (Excel, Word).
- Knowledge of GST, basic import/export (if applicable), and purchase documentation.
Qualification & Experience
- Diploma / BE / B.Tech in Mechanical Engineering or Graduate with relevant experience.
- 3–6 years of experience in Purchase / Procurement, preferably in the fabrication or engineering industry.
- Experience in handling steel procurement and fabrication consumables is mandatory.
Working Conditions
- Office-based role with regular coordination with shop floor and vendors.
- May require occasional vendor visits and extended hours based on operational needs.
