About the Role
We are seeking a highly organized, proactive, and people-oriented Administrator to oversee the complete administrative and operational functions of our EdTech centre in Kozhikode. This role is responsible for ensuring the seamless day-to-day functioning of the centre while maintaining high standards of operational excellence, compliance, student satisfaction, and team productivity.
The ideal candidate should possess strong leadership, communication, and organizational skills with the ability to manage multiple responsibilities simultaneously. The Centre Administrator will work closely with academic, counselling, finance, HR, and operations teams to create an efficient, student-centric environment.
Key Responsibilities
1. Centre Operations Management
- Take complete ownership of the centre's day-to-day administrative and operational activities.
- Ensure smooth functioning of all departments within the centre.
- Develop and implement operational procedures to improve efficiency and service quality.
- Monitor operational performance and recommend improvements wherever necessary.
- Ensure the centre maintains a professional, safe, and welcoming environment for students, parents, visitors, and employees.
- Coordinate with internal departments to resolve operational challenges promptly.
2. Team Leadership & People Management
- Lead, supervise, and motivate the operations and administrative staff.
- Allocate responsibilities and monitor daily work performance.
- Conduct regular performance reviews and provide coaching to improve productivity.
- Ensure discipline, attendance, punctuality, and adherence to company policies.
- Foster a collaborative and positive work culture.
- Support HR in employee onboarding, training, engagement, and retention initiatives.
3. Student & Parent Relationship Management
- Serve as the primary administrative point of contact for students and parents.
- Build and maintain strong relationships through professional communication and timely support.
- Address concerns, complaints, and escalations efficiently while ensuring high satisfaction levels.
- Coordinate with academic teams to resolve student-related operational issues.
- Maintain confidentiality and professionalism in all interactions.
4. Compliance & Administration
- Ensure compliance with company policies, statutory requirements, and operational guidelines.
- Maintain accurate records, documentation, and administrative reports.
- Monitor adherence to safety protocols, organizational standards, and internal audits.
- Ensure proper management of confidential information and institutional records.
5. Event Planning & Coordination
- Plan, organize, and execute seminars, workshops, orientation programs, examinations, cultural events, and other institutional activities.
- Coordinate logistics, vendors, venue arrangements, and event schedules.
- Ensure successful execution of events while maintaining quality standards and budgets.
6. Hostel & Travel Management
- Oversee hostel administration and accommodation arrangements for students and staff, where applicable.
- Coordinate travel bookings, transportation, guest accommodations, and related logistics.
- Liaise with external vendors to ensure smooth service delivery.
Vendor & Facility Management
- Coordinate with vendors, service providers, and maintenance teams.
- Ensure timely procurement of office supplies and operational resources.
- Monitor facility maintenance, cleanliness, security, and infrastructure.
- Maintain vendor relationships and negotiate contracts to achieve cost-effective solutions.
8. Financial & Operational Coordination
- Coordinate with the finance team regarding operational expenses, invoices, petty cash, and vendor payments.
- Monitor operational budgets and identify opportunities for cost optimization.
- Ensure proper documentation for financial transactions related to administration.
9. Reporting & Performance Monitoring
- Prepare daily, weekly, and monthly operational reports.
- Track key operational metrics, staff productivity, and service quality.
- Present reports and recommendations to senior management.
- Support management in implementing strategic operational initiatives.
Required Qualifications
- Bachelor's Degree in Business Administration, Management, Commerce, or a related discipline.
- Master's Degree or MBA is an added advantage.
Experience
- 4–8 years of experience in Administration, Operations, Centre Management, or Branch Administration.
- Experience in the EdTech, Education, Training, Healthcare, Hospitality, or Service industry is preferred.
- Previous experience managing teams and centre operations is highly desirable.

Pay: ₹45,000.00 - ₹60,000.00 per year
