Job Description – Executive Assistant (EA) to Director
We are seeking a highly professional, presentable, and experienced Executive Assistant (EA) to provide comprehensive support to the Director. The candidate will be responsible for managing schedules, business coordination, communication, travel arrangements, confidential documentation, and executive-level administrative activities. Strong communication skills in English and Hindi and along with excellent email drafting skills are essential for this role.
Key Responsibilities
- Manage the Director’s calendar, meetings, appointments, and travel schedules efficiently.
- Draft professional emails, letters, presentations, MOMs, and business correspondence.
- Coordinate with internal departments, clients, consultants, vendors, and external stakeholders on behalf of the Director.
- Handle confidential documents, reports, records, and sensitive business information.
- Organize meetings, conference calls, business visits, travel bookings, and hotel arrangements.
- Ensure timely follow-up on tasks, approvals, and action points assigned by the Director.
- Prepare reports, presentations, MIS, and business summaries as required.
- Screen calls, manage communications, and prioritize important matters for the Director.
- Support the Director in daily operational and administrative activities.
- Maintain professional communication and represent the Director’s office effectively.
- Coordinate with multiple teams to ensure smooth workflow and execution of priorities.
Required Skills
- Excellent verbal and written communication skills in English and Hindi.
- Strong email drafting and professional correspondence skills.
- Presentable personality with professional etiquette and communication style.
- Strong organizational, coordination, and multitasking abilities.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information professionally.
- Good time management and follow-up skills.
- Ability to work in a fast-paced corporate environment.
Qualification
- Graduate in any discipline.
- Additional certification in administration or communication will be an added advantage.
Experience
- Minimum 7+ years of experience as a Personal Assistant / Executive Assistant.
- Must have working experience with directors.
- Experience in corporate office environment preferred.
