Job Summary
We are looking for a proactive and organized HR Assistant to support our Human Resources department in day-to-day operations across our India and Qatar offices. The ideal candidate will assist with recruitment, onboarding, employee records, attendance, payroll support, HR documentation, ERP/HRMS updates, and employee engagement while ensuring compliance with company policies and labour regulations.
Key ResponsibilitiesRecruitment & Onboarding
- Post job openings on recruitment platforms.
- Screen resumes and maintain candidate records.
- Schedule interviews and coordinate with hiring managers.
- Prepare offer letters and onboarding documents.
- Support employee induction and orientation.
- Maintain recruitment documentation and employee files.
HR Administration
- Maintain employee records and personnel files.
- Update attendance, leave, and employee information in the HRMS/ERP system.
- Prepare HR letters, employment certificates, and other documentation.
- Track passport, visa, work permit, ID, and document renewals.
- Ensure confidentiality of employee information.
Payroll & Attendance Support
- Prepare monthly attendance, leave, and overtime reports.
- Support payroll processing with HR and Finance teams.
- Maintain leave balances and attendance records.
- Assist with employee insurance and statutory benefits administration.
Employee Relations
- Support HR policies and procedures.
- Coordinate employee communications and engagement activities.
- Maintain records of disciplinary actions and employee grievances.
- Respond to employee HR queries and escalate when required.
Performance & Training
- Maintain performance appraisal records.
- Coordinate performance review schedules.
- Assist in organizing employee training programs.
- Maintain training records and certifications.
HR Compliance & Reporting
- Support compliance with labour laws and company policies.
- Maintain statutory and HR compliance records.
- Assist with internal and external audits.
- Prepare HR reports, dashboards, recruitment status reports, and manpower records.
- Keep HRMS/ERP data accurate and up to date.
Education
- Bachelor's or Master's Degree in Human Resource Management, Business Administration, Commerce, or a related field.
- HR certification or diploma is an added advantage.
Experience
- 1-2 years of experience in HR or HR Administration.
- Experience in Construction, Engineering, Contracting, or Infrastructure industries is preferred.
- Experience supporting Qatar/GCC HR operations is an advantage
Skills
- Knowledge of recruitment, employee records, attendance, and payroll support.
- Familiarity with HRMS, ERP systems, or payroll software.
- Good understanding of labour laws and HR practices.
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Strong communication, organizational, and interpersonal skills.
- High level of accuracy, confidentiality, and professionalism.
- Ability to manage multiple tasks and meet deadlines.
Preferred Qualifications
- Experience supporting multi-location HR operations.
- Knowledge of Qatar Labour Law and Indian Labour Laws.
- Experience in document management and HR compliance.
- Basic understanding of payroll processing and statutory compliance.
