Import Export Executive – Documentation
Job Summary
The Import Export Executive – Documentation is responsible for preparing, verifying, and managing all import and export documentation while ensuring compliance with customs regulations, international trade requirements, and company policies. The role involves coordinating with freight forwarders, Customs House Agents (CHA), shipping lines, customers, suppliers, and internal departments to ensure timely and accurate shipment processing.
Key Responsibilities
- Prepare and verify export and import documents, including:
- Commercial Invoice
- Packing List
- Bill of Lading (BL)
- Air Waybill (AWB)
- Shipping Bill
- Certificate of Origin (COO)
- Insurance documents
- Letter of Credit (LC) documents
- Ensure documentation complies with customs regulations, DGFT guidelines, GST requirements, and customer specifications.
- Coordinate with freight forwarders, shipping lines, airlines, transporters, and Customs House Agents (CHA) for shipment execution.
- Submit shipping instructions and monitor documentation timelines.
- Track shipments and update customers and internal stakeholders on shipment status.
- Coordinate with banks for export documentation, LC negotiation, and payment processing.
- Maintain accurate shipment records, documentation, and MIS reports.
- Resolve documentation discrepancies and customs-related issues.
- Support audits by maintaining organized documentation and records.
- Ensure timely dispatch of original shipping documents to customers and banks.
Required Skills
- Strong knowledge of import and export documentation procedures.
- Familiarity with Incoterms (FOB, CIF, EXW, FCA, DDP, etc.).
- Understanding of customs clearance, DGFT regulations, GST, and international trade compliance.
- Good communication and coordination skills.
- Proficiency in Microsoft Excel, Word, and ERP software (SAP, Oracle, Tally, or similar).
- Strong attention to detail and organizational skills.
- Ability to work under deadlines and manage multiple shipments simultaneously.
Qualifications
- Bachelor's degree in Commerce, Business Administration, Logistics, Supply Chain, or a related field.
- Diploma or certification in Import Export Management or International Trade is an added advantage.
Experience
- Fresher to 2 years of experience in import/export documentation or logistics.
- Experience working with shipping documentation and customs procedures is preferred.
Preferred Knowledge
- Customs documentation and clearance procedures.
- Export incentives and trade compliance.
- Banking documentation for international trade.
- Coordination with freight forwarders and logistics service providers.
Pay: ₹25,000.00 - ₹43,000.00 per month
