Job Description: Office Executive (Logistics & Transport)Job Summary
The Office Executive will be responsible for streamlining day-to-day administrative operations, coordinating with drivers/vendors, and maintaining accurate documentation of shipments and inventory. The ideal candidate will ensure that the flow of information between the warehouse, transport teams, and clients is seamless and efficient.
Key Responsibilities
- Documentation & Record Keeping: Maintain meticulous logs of Inward/Outward movements, Goods Receipt Notes (GRN), and Proof of Delivery (POD).
- Fleet & Vendor Coordination: Communicate with vehicle owners, drivers, and third-party logistics providers to ensure timely pickups and deliveries.
- Billing & Invoicing: Prepare freight invoices, verify labor charges, and process vendor payments while ensuring all financial records align with operational data.
- Compliance Tracking: Monitor vehicle fitness certificates, insurance renewals, and permit dates to ensure 100% legal compliance for the fleet.
- Inventory Oversight: Assist in periodic stock audits and update the Inventory Management System (IMS) or ERP in real-time.
- Client Support: Act as the first point of contact for shipment tracking inquiries and resolve delivery-related grievances promptly.
Required Skills & QualificationsCategoryRequirementEducationBachelor’s degree in Commerce, Business Administration, or Supply Chain Management.Experience1–3 years of experience in an office admin or operations role (Logistics experience preferred).Technical SkillsProficiency in MS Excel (VLOOKUP, Pivot Tables) and experience with ERP software (like Tally, SAP, or custom TMS).Soft SkillsStrong negotiation skills, ability to work under pressure, and excellent verbal communication.Work Environment
- Reporting to: Operations Manager / Branch Manager.
- Attributes: High attention to detail and a "problem-solving" mindset to handle real-time transit delays.

- Documentation Accuracy: Zero errors in billing and POD filing.
- Turnaround Time (TAT): Speed of processing dispatch documents.
- Vendor Relations: Timely resolution of driver/vendor payment queries.
