Job Description
Support the Director with day-to-day coordination, communication, and follow-ups. Manage calendar, meetings, travel, documents, and ensure tasks move to closure across teams.
Key Responsibilities

Calendar & Meetings: Plan/confirm meetings, prepare agendas, briefs, and Minutes of Meeting; track action items to closure.

Communication: Draft emails/letters, create PPTs, reports, and summaries; maintain professional communication with clients, vendors, and internal teams.

Follow-ups & Coordination: Drive follow-ups with Sales, HR, Accounts, SCM, and Plant; maintain trackers/MIS for priorities and deadlines.

Travel & Events: Plan itineraries, tickets, hotels; organize reviews, customer visits, and small events as required.

Documentation: Organize files (digital & hard copy), NDAs, contracts, and approvals; ensure timely signatures and dispatch.

Confidentiality & Gatekeeping: Handle sensitive information; prioritize requests and protect the Director’s time.

Task Support: Basic research, data collation, expense statements, vendor coordination, and other admin tasks.
Requirements

Experience: 3–5 years as Executive Assistant/Personal Assistant/Office Manager (preferably in a fast-paced corporate/SME).

Education: Graduate in any stream; MBA/PG preferred.
Skills:

Strong English & Hindi; clear drafting and presentation skills.

MS Office (Excel, PowerPoint, Word), email, calendars; Google Workspace.

Speed with spreadsheets, trackers, and meeting notes; attention to detail.

High ownership, follow-through, and time management.
Nice to Have: Exposure to Zoho (Mail/CRM/Recruit), travel bookings, and basic finance/admin processes.
Traits: Discreet, reliable, organized, and calm under pressure; ready to work extended hours when needed.
