Job Responsibilities:
Coordinate day-to-day office operations to ensure efficiency and adherence to company policies.
Supervise administrative and support staff, allocating responsibilities to maintain optimal performance.
Prepare and circulate the monthly bulletin across all departments.
Manage travel and accommodation arrangements for employees and guests.
Plan and coordinate office events, including meetings, training sessions, annual functions, and conferences.
Monitor office supply inventory and handle procurement within budget constraints.
Track expenses and support budget planning activities.
Ensure all operations comply with organizational policies and regulatory requirements.
Oversee facility management, including maintenance activities and coordination with service providers (e.g., electricians, technicians, etc.).
Manage document storage systems, including tracking, retrieval, and coordination for file movement.
Conduct regular inspections of office facilities and meeting rooms to ensure all equipment is functional; liaise with vendors for timely issue resolution.
Handle vendor management, including vendor selection, purchase order creation, billing, and timely payments.
Maintain records of all organizational assets and ensure their upkeep and maintenance.
Support daily administrative operations as required.
Manage communication requirements such as SIM cards, data dongles, and related billing, ensuring proper documentation and compliance.
Maintain logs for office incidents, repairs, and maintenance activities.
Oversee maintenance of company properties, including company-leased flats, property tax payments, and upkeep.
Coordinate arrangements for festive gifting (e.g., Diwali gifts) for clients and employees.
Manage printing and distribution of company diaries and calendars.
Prepare MIS reports and ensure timely submission as per compliance requirements.
Maintain and update records and databases related to personnel, financials, and operations.
Track travel and expense claims and coordinate with the Finance team for processing.
Manage AMC contracts, including renewals, agreement preparation, and service tracking.
Oversee vehicle management, including record-keeping, maintenance, and allocation based on requirements.
Handle petty cash and maintain accurate records of daily expenses.
Manage visitor processes, ensuring a smooth and professional experience.
Preferred candidate profile-
Should have 6 to 10 years of experience in facility management.
Educational Qualification - B.Com/B.Tech/BBA
(MBA will be an added advantage)
