We are a leading accounting firm in India. We are seeking a proactive and detail-oriented Admin Executive to oversee and ensure seamless day-to-day operations
Key Responsibilities:
1. Administrative Operations:
o Develop and implement effective administrative processes and systems to maintain efficient office operations.
o Manage daily administrative tasks, including housekeeping, facilities management, and infrastructure maintenance.
2. Facility Management:
o Ensure workplace safety and security for employees, aligning with organisational policies.
o Oversee facilities management activities, such as AMC renewals, vendor agreements, and maintenance schedules.
o Collaborate with vendors and service providers to optimise the quality and cost-effectiveness of facility services.
o Conduct routine inspections to ensure the functionality of office equipment, including printers, EPABX systems, CCTV, access controls, and video conferencing tools.
3. Inventory and Supplies:
o Monitor and manage office supply inventory, coordinating with stakeholders to ensure uninterrupted operations.
o Conduct regular stock checks for housekeeping and pantry supplies, maintaining adequate inventory levels.
4. Cost Optimization:
o Identify and implement innovative cost-saving measures in administration and facilities management.
5. Regulatory Compliance and Documentation:
o Handle paperwork and documentation related to the Institute of Chartered Accountancy and other relevant regulatory requirements.
6. Manpower Coordination:
o Effectively manage administrative staff to ensure smooth day-to-day office operations.
Qualifications and Skills:
- Bachelor’s degree in Business Administration or a related field.
- 10+ years of experience in administrative roles, preferably in a professional services or corporate environment.
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills to liaise with vendors, service providers, and internal teams.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
