Role Overview
We are looking for a highly energetic, hands-on, and resourceful Operations Executive to manage the logistics, vendor coordination, and on-ground execution of our events.
In this role, you will be the backbone of Showboat's event delivery. You will work closely with the Client Servicing and Production teams to turn creative concepts into fully realized setups. From venue sourcing, vendor negotiation, and load-in logistics to managing live event flows and post-event breakdown, you will ensure every operational detail runs smoothly, safely, and on schedule.
Key Responsibilities
1. On-Ground Execution & Live Logistics
- Manage full setup (load-in) and teardown (load-out) processes at venues, ensuring strict adherence to project timelines and safety standards.
- Oversee on-site venue layouts, stage builds, AV placement, branding displays, and seating arrangements against approved layout plans.
- Direct flow of movement during live events, managing guest registration desks, crowd control, backstage logistics, and AV/cue sequences.
- Troubleshoot immediate on-ground operational issues, technical glitches, or vendor delays calmly and swiftly.
2. Vendor Management & Procurement
- Coordinate with external suppliers (fabricators, sound/light technicians, printers, caterers, transport, security, and AV providers).
- Source competitive quotes, negotiate pricing, and ensure vendors adhere to promised quality standards and delivery deadlines.
- Conduct inventory checks for all hired or company-owned event equipment, props, and collateral before, during, and after events.
3. Venue Sourcing & Compliance
- Conduct site recce inspections, evaluate technical capabilities, measure floor spaces, and identify potential operational bottlenecks.
- Obtain required government, municipal, venue, and safety permits (e.g., sound permissions, fire clearances, licenses) in compliance with local regulations.
- Coordinate transport, freight, warehousing, and travel arrangements for staff, artists, equipment, and event materials.
4. Budget Tracking & Documentation
- Maintain accurate inventory tracking logs, vendor delivery dockets, and purchase order receipts.
- Assist in tracking operational expenditures against approved budgets to control costs and prevent overruns.
- Prepare post-event operational reports detailing inventory usage, vendor performance, and execution challenges.
Qualifications & Requirements
- Experience: 1–3 years of hands-on ground operations or production experience in an Event Management Agency, Production House, or Hospitality/Exhibition firm.
- Technical Understanding: Basic working knowledge of event staging, audio-visual (AV) setups, fabrication materials, lighting systems, and print mediums.
- Problem-Solving: Strong situational awareness with a "can-do" attitude and quick problem-solving skills in high-stress, live environments.
Pay: ₹30,000.00 - ₹40,000.00 per month
