Job Summary
We are looking for a proactive and detail-oriented Operations Executive – Liaison & Dispatch to manage dispatch operations, coordinate with courier and logistics partners, and ensure the smooth movement of books and educational materials. The ideal candidate should have experience in dispatch coordination, courier management, documentation, and vendor liaison.
Key Responsibilities
- Coordinate daily dispatch activities to ensure timely delivery of books and educational materials.
- Liaise with courier companies, transporters, vendors, and internal departments for smooth operations.
- Book shipments through courier and logistics partners and track deliveries until completion.
- Prepare and maintain dispatch documents, invoices, e-way bills, courier manifests, and shipment records.
- Coordinate with the warehouse team for order processing, packaging, and dispatch.
- Monitor shipment status and resolve delivery-related issues promptly.
- Maintain dispatch registers, courier records, and operational MIS reports.
- Follow up for Proof of Delivery (POD) and ensure proper documentation.
- Coordinate with the sales and customer support teams regarding dispatch schedules and delivery updates.
- Ensure compliance with company processes and documentation standards.
- Support day-to-day operational activities as assigned by the management.
Eligibility Criteria
- Graduate in any discipline.
- 1–3 years of experience in dispatch, logistics, courier coordination, or operations.
- Experience in coordinating with courier agencies and transporters.
- Good knowledge of dispatch documentation, invoices, e-way bills, and shipment tracking.
- Proficiency in MS Excel, MS Word, and email communication.
- Strong organizational and coordination skills.
- Good verbal and written communication skills.
- Ability to work in a fast-paced environment and manage multiple tasks.
Preferred Skills
- Experience in the publishing, logistics, FMCG, or distribution industry.
- Strong follow-up and problem-solving skills.
- Attention to detail and documentation accuracy.
- Ability to coordinate effectively with multiple stakeholders.
- Knowledge of ERP systems will be an added advantage.
