Job Purpose
To manage front desk operations efficiently by handling visitors, telephone calls, employee coordination, administrative support, and maintaining professional communication and hospitality standards at the plant or corporate office.
Key Roles & Responsibilities
1. Front Desk Management
- Manage reception and front office activities professionally.
- Welcome visitors, auditors, clients, vendors, and interview candidates.
- Maintain visitor entry registers and issue visitor passes.
- Guide visitors regarding company procedures and departments.
- Ensure proper housekeeping and presentation of reception area.
2. Telephone & Communication Handling
- Attend incoming calls and transfer to concerned departments.
- Handle inquiries and provide required information professionally.
- Maintain telephone extension directories and contact records.
- Coordinate internal communication between departments.
3. Visitor & Guest Coordination
- Coordinate meetings and appointments for management staff.
- Inform employees regarding visitor arrivals.
- Arrange hospitality support for guests and auditors.
- Support audit visit coordination and conference room arrangements.
4. Administrative Support
- Support HR and Admin team in routine office activities.
- Maintain office records, files, and documentation.
- Handle inward and outward courier activities.
- Manage office stationery and pantry stock records.
- Assist in travel bookings and accommodation arrangements when required.
5. Employee Support Activities
- Assist employees regarding visitor approvals and communication support.
- Coordinate interview scheduling and candidate handling.
- Support joining formalities and induction coordination for new employees.
- Maintain confidentiality of employee and company information.
6. Documentation & MIS
- Maintain:
- Visitor records
- Courier records
- Meeting room schedules
- Telephone logs
- Prepare daily and monthly reception MIS reports.
- Update employee contact details and emergency contact lists.
7. Hygiene & Compliance Support
- Ensure reception and waiting area cleanliness as per food industry standards.
- Coordinate with housekeeping staff for cleanliness maintenance.
- Follow company safety and hygiene policies.
