Experience:
- 5–8 years of experience in Student Administration or a Registrar's Office, preferably in higher education institutions. Candidates from the education industry/skill development sector having experience in student handling will be preferred.
Job Summary :
The role is responsible for managing and ensuring the smooth functioning of all academic administration activities at the institute. This includes student records, attendance, academic schedules, examinations, result publication, regulatory compliance, student grievance handling, fee follow-up, event coordination, and team management. The position also focuses on improving processes and maintaining efficient coordination among departments.
Key Responsibilities:
1. Student Records Management:
- Maintain accurate and confidential student records.
- Manage admissions, enrolment, academic performance, transcripts, and graduation data.
- Ensure proper storage and retrieval of student information.
2. Student Attendance Management:
- Monitor and review student attendance.
- Identify attendance issues and take corrective actions.
- Maintain a centralized attendance management system.
3. Academic Scheduling:
- Prepare class timetables, examination schedules, and room allocations.
- Coordinate with faculty and departments to resolve scheduling issues.
4. Regulatory Compliance:
- Ensure compliance with AICTE, NBA, and other regulatory requirements.
- Support audits, inspections, and accreditation processes.
- Assist in data compilation and report preparation.
5. Examination Management:
- Prepare and implement academic and examination calendars.
- Arrange exam venues, invigilators, and resources.
- Ensure secure handling of examination papers and materials.
- Manage examination conduct and address any irregularities.
6. Grading and Result Management:
- Ensure timely submission and verification of grades.
- Coordinate result compilation and publication.
- Issue transcripts, certificates, and graduation documents.
- Handle grading disputes and student academic concerns.
7. Student Support and Grievance Handling:
- Address student grievances, appeals, and disciplinary matters.
- Assist students with fee-related issues and financial queries.
- Communicate important information, deadlines, and policies to students.
8. Event Coordination:
- Organize academic events such as Induction, Convocation, and other ceremonies.
9. Interdepartmental Coordination:
- Work closely with various departments to ensure smooth institutional operations.
10. Student Fee Follow-up:
- Follow up on fee collections and reconciliations.
- Issue demand letters, bonafide certificates, and payment reminders.
11. Crisis Management:
- Manage academic disruptions effectively with minimal impact.
- Resolve student conflicts and grievances promptly.
12. Continuous Improvement:
- Identify opportunities to improve academic administrative processes.
- Implement best practices to enhance efficiency and service quality.
