Position Summary
The Operational Manager is responsible for overseeing the daily operations of Tathastu Dental Clinic, ensuring efficient clinic functioning, optimal patient experience, regulatory compliance, infrastructure maintenance, and effective management of dental and medical equipment. The role involves coordinating administrative, technical, maintenance, and support functions to ensure uninterrupted healthcare service delivery.
Key Responsibilities
1. Day-to-Day Operations Management
- Oversee daily clinic operations to ensure smooth functioning of all departments.
- Monitor patient flow, appointment schedules, and service delivery standards.
- Coordinate with dentists, specialists, nursing staff, reception, and support teams.
- Ensure adherence to clinic policies, SOPs, and quality standards.
- Resolve operational issues and implement corrective actions promptly.
- Prepare and submit operational reports to management.
2. Facility & Maintenance Management
- Develop and implement preventive maintenance schedules for clinic infrastructure.
- Ensure proper functioning of electrical, plumbing, HVAC, water supply, and backup power systems.
- Coordinate with external vendors and service providers for repairs and maintenance.
- Monitor housekeeping, cleanliness, infection control, and waste management practices.
- Ensure compliance with health, safety, and fire safety regulations.
3. Medical & Dental Equipment Management
- Maintain inventory and lifecycle records of all dental and medical equipment.
- Schedule preventive maintenance, calibration, and servicing of equipment.
- Coordinate with OEMs and service agencies for repairs and Annual Maintenance Contracts (AMC).
- Monitor equipment performance and downtime.
- Ensure proper documentation, service logs, warranty records, and compliance certifications.
- Support procurement, installation, and commissioning of new equipment.
4. Inventory & Asset Control
- Monitor stock levels of dental consumables, medicines, instruments, and supplies.
- Coordinate procurement activities to ensure uninterrupted availability.
- Conduct periodic stock verification and asset audits.
- Implement inventory control measures to reduce wastage and losses.
5. Quality & Compliance
- Ensure compliance with applicable healthcare regulations and standards.
- Maintain operational documentation, records, licenses, and certifications.
- Support implementation of quality improvement initiatives.
- Conduct regular inspections and audits of operational processes.
6. Vendor & Contract Management
- Manage relationships with maintenance contractors, equipment vendors, and service providers.
- Review vendor performance and service quality.
- Negotiate service contracts, AMCs, and procurement agreements.
- Ensure timely processing of vendor documentation and payments.
7. Team Leadership
- Supervise administrative, maintenance, housekeeping, and support staff.
- Allocate responsibilities and monitor performance.
- Conduct staff training on operational procedures, safety protocols, and equipment handling.
- Foster a culture of accountability, teamwork, and continuous improvement.
8. Budget & Cost Control
- Prepare and monitor operational and maintenance budgets.
- Track operational expenses and identify cost-saving opportunities.
- Ensure efficient utilization of resources and assets.

Qualifications
- Bachelor's degree in Hospital Administration, Healthcare Management, Engineering, Operations Management, or related field.
- Master's degree in Hospital Administration (MHA) or Healthcare Management preferred.
Experience
- 2–10 years of experience in healthcare operations, hospital administration, clinic management, or facility management.
- Experience managing medical/dental equipment and maintenance functions preferred.
- Knowledge of healthcare regulatory requirements and quality standards.
