Job Purpose
To create a positive first impression for visitors and employees by managing the front office efficiently, handling visitor coordination, telephone communications, and administrative support while ensuring professional reception services.
Key Responsibilities
Reception & Visitor Management
- Greet and assist visitors, guests, clients, and employees in a courteous and professional manner.
- Maintain visitor logbooks and visitor management systems.
- Issue visitor passes and coordinate host notifications.
- Ensure compliance with office security and visitor entry procedures.
Telephone & Communication Management
- Receive, screen, and direct incoming telephone calls.
- Take and forward messages promptly to concerned personnel.
- Handle general inquiries and provide accurate information.
Administrative Support
- Manage incoming and outgoing courier, mail, and dispatch activities.
- Maintain reception records, registers, and documentation.
- Assist in scheduling meetings and booking conference rooms.
- Support administrative activities as assigned by management.
Office Coordination
- Coordinate with housekeeping, security, and facility teams to maintain the reception area.
- Ensure reception, lobby, and waiting areas are clean and presentable.
- Monitor office supplies and raise replenishment requests when required.
Customer Service
- Respond to visitor and employee queries professionally.
- Maintain high standards of hospitality and customer satisfaction.
- Escalate issues or complaints to the concerned department promptly.
Qualifications
- Bachelor's Degree or Diploma in any discipline.
- Additional certification in front office management or administration is preferred.
Experience
- 1 to 3 years of experience in front office, reception, administration, or customer service roles.
- Experience in corporate offices, guest houses, hospitals, or manufacturing facilities is preferred.
Skills Required
- Excellent verbal and written communication skills.
- Pleasant personality and professional appearance.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good telephone etiquette.
- Strong interpersonal and customer service skills.
- Ability to multitask and handle pressure effectively.
- Basic record-keeping and documentation skills.
Pay: ₹15,000.00 - ₹25,000.00 per month
