Job Summary
We are seeking a highly organized, proactive, and trustworthy Personal Assistant/Secretary to support Madam in managing administrative, academic, and personal coordination responsibilities. The candidate will work both on and off campus, handle confidential matters, coordinate meetings and events, and be willing to travel as required for official assignments.
Key ResponsibilitiesAdministrative & Secretarial Support
- Manage Madam's daily schedule, appointments, meetings, and travel plans.
- Prepare correspondence, reports, presentations, and official documents.
- Maintain files, records, and confidential information with discretion.
- Screen phone calls, emails, and visitors, ensuring timely communication.
- Follow up on pending tasks and coordinate with departments for timely completion.
Coordination & Communication
- Act as a liaison between Madam, management, staff, students, parents, and external stakeholders.
- Coordinate meetings, conferences, inspections, and institutional events.
- Prepare meeting agendas, take minutes, and track action items.
- Handle communication with government authorities, educational bodies, vendors, and partners when required.
Campus & Field Responsibilities
- Assist Madam during campus visits, meetings, events, and official functions.
- Visit external offices, government departments, banks, vendors, and partner organizations as assigned.
- Support event planning, admissions activities, seminars, workshops, and outreach programs.
- Ensure smooth execution of tasks assigned by Madam both within and outside the institution.
Travel Support
- Accompany Madam on official travel when required.
- Arrange transportation, accommodation, itineraries, and travel documentation.
- Coordinate logistics and schedules during institutional visits and meetings.
- Be available for occasional outstation travel.
Personal Assistance
- Assist in managing personal appointments and priority tasks when required.
- Handle confidential and sensitive matters with professionalism.
- Ensure effective time management and prioritization of activities.
Desired Candidate Profile
- Bachelor's degree in any discipline.
- 2–5 years of experience as a Personal Assistant, Executive Assistant, Secretary, or similar role.
- Excellent communication skills in English and local language(s).
- Strong organizational, coordination, and multitasking abilities.
- Proficiency in MS Office, email management, and digital communication tools.
- Professional appearance, positive attitude, and problem-solving mindset.
- High level of integrity, confidentiality, and reliability.
- Willingness to work on-campus, off-campus, and travel as required.
Preferred Skills
- Experience in educational institutions will be an added advantage.
- Knowledge of office administration and event coordination.
- Ability to handle multiple assignments under deadlines.
- Valid driving license
