The Factory Dispatch Manager is responsible for overseeing the entire outbound logistics process—from the point of finished goods receipt to final delivery at the client site. This role ensures timely, cost-effective, and safe delivery of earthing products (e.g., earthing rods, compounds, strips, conductors). Key focus areas include inventory accuracy, proper packaging for heavy/metal materials, documentation compliance, and transporter management.
Key Responsibilities1. Dispatch Operations & Scheduling
- Oversee daily dispatch operations, coordinating with production and warehouse teams to align with order priorities.
- Plan and prioritize daily, weekly, and monthly dispatch schedules to ensure on-time delivery (OTD).
- Manage loading and unloading activities, ensuring proper material handling to prevent damage to heavy or fragile products.
2. Packaging & Quality Assurance
- Ensure finished goods are packed securely, meeting safety protocols and quality standards.
- Verify that products (e.g., copper rods, chemical bags) are properly labeled, inventoried, and secured for transport.
- Inspect finished goods to ensure correct quality and quantity before loading.
3. Documentation & Compliance
- Prepare, verify, and maintain dispatch documentation, including Sales Invoices, Delivery Challans, E-Way Bills, and Packing Lists.
- Manage all entries for inventory reduction and outward clearing.
- Maintain records of Dispatch Register, Transporter Acknowledgments, and Proof of Delivery (POD).
4. Transportation & Logistics Vendor Management
- Coordinate with third-party logistics (3PL) providers and transporters for vehicle arrangement.
- Negotiate freight rates to minimize shipping costs while ensuring timely delivery.
- Track and trace shipments, communicating ETAs to customers and sales teams.
5. Inventory & Team Management
- Supervise dispatch staff and labor; organize work rotas and training.
- Conduct regular physical stock counts to reconcile with records.
- Ensure the warehouse/factory gate is maintained and compliant with safety guidelines.
Required Skills and Qualifications
- Experience: 2–3 years of experience in dispatch, logistics, or warehouse management within a manufacturing unit, ideally electrical or heavy engineering products.
- Education: Bachelor’s degree in Business Administration, Logistics, or a related field.
- Technical Knowledge: Proficient in MS Excel.
- Documentation Knowledge: Strong understanding of E-Way bills, Delivery challan invoicing, and logistics documentation.
- Physical Handling Awareness: Familiarity with handling heavy metallic goods.
- Leadership: Strong communication, problem-solving, and team leadership skills.
