JD for Production & first mile manager
Role Overview
We are looking for a logistics-heavy Operations Manager to lead our "First-Mile" supply chain. This role begins the moment a purchase order is placed and ends when the goods have cleared Indian customs and are in transit to our UK/EU warehouses. Your primary objective is to ensure that production stays on schedule and that the export process is frictionless, compliant, and cost-effective.
Key Responsibilities
1. Production Coordination & Vendor Management
WIP Tracking: Maintain a Work-in-Progress (WIP) tracker for all active orders, holding weekly status calls with manufacturers to ensure lead times are met.
Lead-Time Optimization: Identify bottlenecks in the production cycle and work with vendors to improve turnaround times for high-demand Shopify SKUs.
Capacity Planning: Monitor vendor production capacity against our sales forecasts to prevent over-booking or stock-out risks.
2. Enhanced First-Mile & Export Logistics
Customs & ICEGATE Management: Directly oversee the filing of Shipping Bills and ensure all digital documentation is correctly uploaded via e-Sanchit to minimize customs hold-ups.
Consolidation Strategy: Coordinate the movement of goods from various Indian suppliers to a central hub for cargo consolidation (LCL/FCL), optimizing shipping volumes and reducing "per-unit" freight costs.
Last-Mile to Port: Manage the inland transit from factory gates to CFS (Container Freight Stations) or Airports, ensuring cargo is handled safely and on time.
Freight Audit: Review and negotiate freight quotes from multiple forwarders and CHAs; audit final invoices against quoted rates to ensure cost transparency.
Compliance & HSN Mapping: Ensure every product is assigned the correct HSN code and meets specific UK/EU import requirements (VAT/EORI compliance documentation) to avoid delays at the destination port.
3. Data & Systems Integration
Inventory Syncing: Update the Shopify backend and inventory management systems in real-time as shipments transition from "In Production" to "In Transit."
Automated Reporting: Develop and maintain automated dashboards to track key metrics like "Factory-to-Port" transit time and shipping cost percentages.
Required Skills & Qualifications
Logistics Expertise: Deep understanding of Incoterms (specifically FOB, FCA, and DDP) and the nuances of cross-border e-commerce shipping.
Documentation Mastery: Proven experience with Bill of Ladings, Airway Bills, Commercial Invoices, and Packing Lists specifically for the UK/EU corridor.
Operational Agility: Proficiency in Google Sheets/Excel for complex tracking; experience with no-code tools to automate logistics updates is a significant plus. Communication: Ability to navigate the communication styles of local Indian manufacturers while maintaining the professional standards required for international operations.
Key Performance Indicators (KPIs)
On-Time Shipping Rate: % of orders handed over to the forwarder by the agreed-upon deadline.
Documentation Accuracy: Zero delays caused by incorrect or missing export/import paperwork.
