About the Role
We are looking for an organized and detail-oriented Purchase Assistant to support our procurement team in sourcing materials, processing purchase orders, and maintaining strong vendor relationships. The ideal candidate will help ensure the timely and cost-effective acquisition of goods and services required by the company.
Roles & Responsibilities
- Assist in identifying suppliers, obtaining quotations, and preparing comparative cost analyses.
- Prepare, process, and follow up on purchase orders (POs) in line with approved requisitions.
- Coordinate with vendors to confirm order details, pricing, delivery schedules, and payment terms.
- Track shipments and follow up on delayed deliveries to ensure timely receipt of materials.
- Maintain accurate records of purchases, pricing, and vendor performance in the procurement system.
- Verify invoices against purchase orders and goods received notes (GRN) before forwarding for payment.
- Monitor stock levels and coordinate with the stores/inventory team to raise timely purchase requisitions.
- Support the negotiation of pricing, terms, and contracts with suppliers under guidance from senior staff.
- Ensure compliance with company purchasing policies, budget guidelines, and procurement procedures.
- Build and maintain positive working relationships with existing and new vendors.
- Prepare periodic reports on purchase activity, cost savings, and vendor performance for management review.
- Resolve discrepancies related to orders, deliveries, and billing in coordination with vendors and internal teams.
Experience Requirements
- 1-3 years of relevant experience in purchasing, procurement, or supply chain administration.
- Bachelor's degree in Business Administration, Commerce, Supply Chain Management, or a related field preferred.
- Prior experience working with ERP or procurement software (e.g., SAP, Oracle, Tally) is an added advantage.
- Experience in vendor coordination and purchase order management is highly desirable.
Skills Required
- Strong negotiation and vendor management skills.
- Excellent organizational skills with the ability to manage multiple orders simultaneously.
- Good written and verbal communication skills.
- Proficiency in MS Office (Excel, Word, Outlook) and familiarity with procurement/ERP systems.
- Strong attention to detail and accuracy in documentation and record-keeping.
- Analytical and problem-solving skills for cost comparison and vendor evaluation.
- Ability to work under pressure and meet tight deadlines.
- Basic understanding of inventory management and supply chain principles.
- Strong interpersonal skills and a team-oriented approach.
