Key Responsibilities
Administrative Support
- Manage the Managing Director’s calendar, appointments, meetings, and travel schedules.
- Screen phone calls, emails, and correspondence on behalf of the Managing Director.
- Prepare reports, presentations, meeting agendas, MOM (Minutes of Meeting), and official documents.
- Maintain confidential records, files, and business documents.
- Ideal candidate should possess strong analytical skills and analytical abilities.
Coordination & Communication
- Coordinate with department heads, clients, vendors, and external stakeholders.
- Follow up on pending tasks, projects, and management instructions.
- Draft professional emails, letters, and internal communications.
- Arrange and coordinate meetings, conferences, and business events.
Operational Assistance
- Assist in monitoring daily business operations and reporting updates to the Managing Director.
- Track deadlines, important deliverables, and compliance requirements.
- Support decision-making through data collection and report preparation.
- Handle travel bookings, accommodation, and expense management.
Documentation & Reporting
- Maintain MIS reports and management trackers.
- Prepare presentations and business summaries for meetings.
- Ensure proper documentation and filing of contracts, agreements, and company records.
Confidentiality & Professionalism
- Handle sensitive information with utmost confidentiality.
- Represent the Managing Director professionally in internal and external interactions.
Required Skills & Competencies
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Professional email drafting and documentation skills.
- Time management and follow-up skills.
- Ability to work under pressure and meet deadlines.
- High level of integrity and confidentiality.
Educational Qualification
- Bachelor’s Degree in Business Administration, Management, Commerce, or related field.
- MBA or relevant certification will be an added advantage.
Experience
- 2–5 years of experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator preferred.
- Experience in hospitality, manufacturing, or corporate environment will be an advantage.
