Position: Inventory Associate – Goods Receipt & Inventory

About the Role
We are looking for a detail-oriented and organized Inventory Associate to manage the Goods Receipt Note (GRN) process for all Aarogya Pharmacy stores. The role is responsible for ensuring timely and accurate inward processing of inventory received from vendors by matching Purchase Orders, supplier invoices, and physical receipts in the ERP system.
The ideal candidate should have hands-on experience in GRN processing, sound knowledge of pharmaceutical and non-pharmaceutical products, strong Excel skills, and the ability to work with high accuracy under defined timelines.
Key Responsibilities

Prepare and complete Goods Receipt Notes (GRNs) for all stores on a daily basis.
- Verify supplier invoices against approved Purchase Orders before processing GRNs.
- Ensure accurate entry of product details including:
- Batch Number
- Expiry Date
- Manufacturing Date (where applicable)
- Quantity
- Purchase Cost
- GST Details
- MRP
- Validate products received against Purchase Orders and supplier invoices.
- Coordinate with stores, procurement team, and vendors to resolve invoice and quantity discrepancies.
- Identify and report pricing, quantity, batch, expiry, or tax mismatches before GRN completion.
- Ensure all GRNs are completed within defined turnaround timelines.
- Maintain proper documentation of invoices, GRNs, and supporting records.
- Generate daily GRN status reports and pending GRN reports.
- Support inventory reconciliation and stock audits whenever required.
- Assist the Inventory Executive in maintaining inventory accuracy across all stores.
- Follow SOPs and compliance guidelines for inventory documentation.
Required Skills

Strong proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, Filters, Sorting, Basic Formulas).
- Working knowledge of ERP software (Logic ERP / Wondersoft or similar inventory systems preferred).
- Good understanding of pharmacy inventory processes.
- Knowledge of pharmaceutical medicines, OTC products, surgicals, FMCG, and other non-pharma categories.
- Excellent attention to detail and numerical accuracy.
- Good analytical and problem-solving skills.
- Ability to prioritize work and meet daily deadlines.
Good communication and coordination skills.

Eligibility Criteria
Education
-
Bachelor's Degree in any discipline.
- B.Pharm / D.Pharm / B.Sc / B.Com preferred & will be an added advantage.
Experience
-
1–3 years of experience in GRN processing, inventory operations, warehouse, or pharmacy back-office operations.
- Experience in pharmacy, healthcare, hospital, medical distribution, or retail pharmacy is preferred.
