Job Summary:
The Customer Support / Backend Operations Executive will be responsible for supporting customers and Business Development Managers (BDMs)/ clients by ensuring smooth order processing, accurate documentation, timely communication, and efficient coordination from Purchase Order receipt through dispatch and billing.
Key Responsibilities
- Receive, review, and process customer Purchase Orders (POs).
- Verify part details including CPN, MPN, quantity, pricing, and delivery requirements.
- Identify discrepancies in customer orders and coordinate with clients/BDMs for corrections and amended POs.
- Coordinate with internal teams for stock availability and order execution.
- Prepare and process Proforma Invoices, Sales Orders, and Billing documentation.
- Track and follow up on pending orders, blocked parts, and delivery schedules.
- Share weekly pending order reports and status updates with customers and internal stakeholders.
- Coordinate with logistics teams for air and surface shipments and ensure timely dispatches.
- Follow up with customers regarding order confirmations, amendments, and shipment updates.
- Maintain accurate records of customer communications, orders, forecast and transactions.
- Provide backend support to Business Development Managers (BDMs) / Clients and ensure smooth customer service operations.
- Handle email correspondence professionally and maintain strong customer relationships.
- Support continuous process improvements to enhance operational efficiency and customer satisfaction.
Skills Required
- Excellent communication skills in English, Hindi, and Telugu.
- Strong email drafting and written communication skills.
- Proficiency in MS Excel, MS Word, PPT and Outlook.
- Strong coordination, follow-up, and organizational skills.
- Ability to multitask and work under deadlines.
- Attention to detail with a customer-focused approach.
- Professional attitude and problem-solving mindset.
Preferred Candidate Profile
- 1–3 years of experience in Customer Support, Sales Coordination, Backend Operations, Order Processing, or Customer Service.
- Experience in handling Purchase Orders, Billing, Dispatch Coordination, Logistics Follow-ups, and Customer Communication.
- Ability to work independently and collaboratively within a team.
- Quick learner with a positive attitude and willingness to grow.
