Role Overview
Vision PR is looking for a proactive and detail-oriented Assistant Event Manager to support planning, coordination, and flawless execution of corporate events, exhibitions, trade shows, activations, and branding projects.
The ideal candidate should be energetic, organized, and capable of handling on-ground event operations while maintaining professional communication with clients and vendors.
Key Responsibilities1️ Event Planning & Coordination
- Support the Event Manager in planning, structuring, and executing events
- Coordinate with vendors, suppliers, fabricators, partners, and internal teams
- Assist in preparing event timelines, task lists, checklists, and execution flow plans
- Monitor deadlines and ensure timely completion of assigned tasks
2️ Communication & Client Handling
- Maintain smooth communication with exhibitors, clients, sponsors, and participants
- Handle client queries and ensure timely resolution
- Coordinate with the marketing team for event promotions and branding requirements
- Support in presentation preparation and client approvals
3️ On-Ground Event Execution
- Supervise event setup, stall fabrication, branding placement, and logistics
- Ensure all elements are executed as per approved plan and design
- Manage volunteer teams, support staff, and temporary crew
- Handle real-time problem solving during event days
4️ Operations & Administration
- Prepare daily progress reports and event documentation
- Maintain data of exhibitors, vendors, and visitors
- Assist in billing coordination, payment follow-ups, and vendor settlements
- Coordinate with accounts and operations teams
5️ Quality Control & Standards
- Ensure company quality standards, safety protocols, and professionalism are maintained
- Handle last-minute changes calmly and effectively
- Maintain discipline and operational efficiency on-site
6️ Post-Event Responsibilities
- Support event closure processes and material returns
- Collect feedback from clients and stakeholders
- Assist in preparing post-event analysis and final reports
Required Skills & Competencies
- Strong communication & interpersonal skills
- Excellent coordination and multitasking ability
- Basic understanding of event marketing & operations
- Ability to work under pressure during event days
- Strong problem-solving skills & leadership mindset
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Willingness to travel and work flexible hours
Qualifications
- Graduate in any field
- Event Management certification (preferred but not mandatory)
- 1–3 years of experience in events / operations
- Freshers with strong passion and practical exposure can apply
Work Model (Hybrid Structure)
- Office presence for planning & coordination
- On-site supervision during events
- Limited remote coordination when required
