The Time Office Executive is responsible for managing daily employee timekeeping, shift rosters, leave administration, and attendance regularization for plant and administrative staff. This role ensures smooth coordination between the time office and payroll team for accurate salary processing, while maintaining complete accuracy and compliance with labor rules.
Key Responsibilities1. Daily Attendance & Shift Management
- Track and maintain daily biometric/face-recognition attendance records.
- Assign, update, and manage shift rosters in coordination with department heads and plant supervisors.
- Monitor late arrivals, early departures, missing punches, and process gate passes (official duty/personal).
- Perform daily attendance regularization and follow up on unannounced absences.
2. Leave Administration & Compliance
- Process and maintain up-to-date leave records (CL, SL, EL, C-Off) in accordance with company policy.
- Verify proper supervisor approvals and supporting documentation for all leave requests.
- Maintain physical and digital muster rolls and statutory registers (Form T, OT Register, etc.) required for compliance.
3. Overtime (OT) & Payroll Input Preparation
- Verify daily and monthly Overtime (OT) hours against supervisor approvals and gate logs.
- Prepare accurate monthly attendance summaries (total working days, payable days, LWP, OT hours).
- Submit finalized payroll inputs to the accounts/payroll team within the monthly deadline.
- Address and resolve employee attendance or leave discrepancies promptly.
4. Gate & Contractor Movement (If Applicable)
- Monitor contractor daily manpower entry, attendance verification, and billing logs.
- Ensure proper entry registers are maintained for contract workers and visitors.
Candidate Requirements & Qualifications
- Location: Must be residing in Shenbagaramanputhoor or nearby surrounding areas (e.g., Aralvaimozhi, Thovalai, Nagercoil vicinity).
- Education: Graduate in any discipline (BBA, B.Com, B.Sc, or equivalent).
- Experience: 1–4 years of experience in Time Office, HR Administration, or Supervisory operations (experience in manufacturing or industrial setups is a plus).
- Technical Skills:
- Knowledge of Biometric Attendance Systems / HR Software.
- Proficiency in MS Excel (Data entry, basic formulas, attendance calculations).
- Key Traits: High accuracy, punctuality, good communication skills, and ability to handle workforce queries firmly and politely.
