Role Overview
S3 Group is seeking a high-impact Business Operations / Delivery Ops Analyst to own and
transform the organization’s delivery operations backbone.
This role is responsible for designing, governing, and scaling the end-to-end operational
ecosystem connecting:
Delivery execution (JIRA)
Financial tracking and billing
Cross-functional workflows (Sales, Finance, Delivery)
The role requires strong ownership, structured thinking, and system-driven execution,
ensuring operations are:
- Scalable
- Governed

This is a mission-critical role with direct visibility into leadership and business outcomes.
Key Responsibilities
- Enterprise JIRA Ownership & Operational Architecture
- Act as the primary owner and expert for JIRA across the organization.
- Lead end-to-end JIRA implementation and lifecycle management, including:
- Project setup and configuration
- Workflow design (conditions, validators, transitions)
- Custom fields, field visibility rules
- Permission schemes and notification schemes
- Filters, dashboards, and reports
- Standardize JIRA structures across:
- Project Delivery
- Product
- Consulting
- Support
- Design structured workflows covering:
- Sales → Contract → Delivery → Closure lifecycle
Define and manage:
- Project creation workflows
- Contract/SOW tracking
- Contract number generation
- Reporting hierarchies
- Build advanced dashboards and trackers using:
- JQL (multi-condition queries, functions)
- Light scripting where required
- Enable real-time visibility into:
- Deliverables
- Timelines
- Milestones
Drive transition from ticket-based tracking to structured project execution models
2. Time Tracking Governance & Financial Alignment
- Own and enforce organization-wide time tracking governance
- Maintain timesheet logging standards as a controlled framework
- Run weekly timesheet Quality Control (QC) cycles:
- Drive correction-at-source
- Ensure adoption of proper logging behavior
- Achieve and maintain ≥98% timesheet compliance
- Maintain Activity Timeline for:
- Leave
- PTO
- Resource allocation
- Build and manage:
- Resource-to-project/SOW mapping
- Effort tracking systems
- Bring VMS/client-driven work into internal JIRA tracking systems
- Partner with Finance to:
- Improve billing readiness
- Reduce reconciliation effort
- Ensure accurate effort-to-billing mapping
- Support:
- Resource-level cost tracking
- PSA (Professional Services Automation) implementation – Phase 2
- Enable SOW-level visibility and reporting
3. Automation, Integrations & System Intelligence
Own all JIRA-native automation rules
Build, maintain, optimize, and troubleshoot
Design and manage integrations between client and internal systems, including:
External JIRA ↔ Internal JIRA sync
Build and maintain n8n workflows, including:
REST API integrations
HTTP and Code nodes
Scheduled triggers
Error handling and retry mechanisms
Operate and monitor:
Cross-instance ticket and comment synchronization
Enable:
Centralized visibility of client work
Accurate internal time tracking
Build backend project tracking structures for:
Timeline tracking
Milestone tracking
Drive:
Automated reporting
Data synchronization
Execute cold email outreach campaigns and generate engagement analytics reports
for Sales
4. Documentation, Knowledge Management & Confluence Ownership
Act as the primary owner of Confluence as the organization’s source of truth
Maintain:
Folder structures
Naming conventions
Versioning standards
Develop and manage:
SOPs (Standard Operating Procedures)
Playbooks
Methodologies
Reusable templates
Document:
End-to-end workflows
Cross-functional processes
Build scalable documentation frameworks that are:
Easy to understand

Maintain structured knowledge repositories ensuring:
- Continuity

- Process Design, Change Management & Operational Governance
- Use JIRA as the core platform for process governance and change management
- Design systems enabling:

Operationalize end-to-end project lifecycle governance frameworks, including:

- Act as first-line support for:

- Ensure alignment between business processes and system capabilities
- Leadership Reporting & Deliverables

Skills & Competencies
Required
- Strong expertise in JIRA administration (end-to-end ownership)
- Advanced working knowledge of JQL
Hands-on experience with:
