JOB DESCRIPTION: Executive Assistant – Founder’s Office

Role Overview
The Executive Assistant at X7 MGMT will work directly with the Founder, supporting daily operations, scheduling, coordination, and execution across business and personal commitments. This role requires high ownership, discretion, strong communication, and the ability to manage multiple priorities in a fast-paced environment.
The Executive Assistant acts as a central support system to ensure the Founder’s time, tasks, and communications are structured, efficient, and aligned with company goals.
Key Responsibilities
- Calendar & Schedule Management Manage and organize the Founder’s daily, weekly, and monthly calendar. Schedule internal meetings, client calls, and external appointments. Ensure proper time blocking and prioritization of critical tasks. Handle last-minute schedule adjustments smoothly.
- Task & Follow-up Management Track ongoing tasks and ensure deadlines are met. Follow up with internal team members for updates. Maintain a structured daily and weekly task tracker. Ensure execution gaps are flagged early.
- Communication Management Draft and respond to emails as required. Coordinate communication across teams via Email, WhatsApp, and Slack. Ensure important messages are not missed. Maintain professional tone and clarity in all correspondence.
- Operational Support Assist in organizing documents, contracts, and reports. Support coordination of hiring, partnerships, and campaigns when required. Maintain organized digital filing systems. Assist in tracking analytics and preparing daily or weekly summaries if needed.
- Personal & Logistical Support Manage personal appointments and bookings. Coordinate travel plans, accommodations, and logistics. Handle administrative tasks that optimize the Founder’s time.
- In-Person Coordination (Pune-Based) Attend in-person meetings when required. Assist in coordinating external meetings or interviews.
Provide on-ground support for important business discussions.

Work Details
- Working Days: Monday to Saturday
- Working Hours: 10:00 AM – 6:00 PM (Flexibility required)
- Work Mode: Hybrid (Pune-based candidates only)
- Availability may be required outside standard hours during urgent matters.
