Master Data Maintenance: Create and update item codes, prices, customer profiles, and vendor details in the ERP system.
- Automated Invoice Generation: Seamlessly pull data from sales orders or warehouse dispatch logs to generate accurate, professional invoices.
- Inventory & Stock Reconciliation: Cross-reference ERP stock databases against physical counts and billable services to prevent discrepancies.
- System Integration: Align the billing module with other ERP modules like Accounts Payable, Accounts Receivable, and General Ledger for smooth financial workflows.
Financial & Transactional Duties
- Bill Validation: Verify sales orders, delivery receipts, and agreed-upon pricing before approving and generating the final invoice.
- Accounts Receivable Tracking: Record incoming payments, identify missed deadlines, and generate regular aging reports in the ERP.
- Tax & Compliance (e.g., GST): Apply the correct taxation structures and generate e-invoices within the ERP to comply with local financial regulations.
- Bank & Account Reconciliation: Match ERP-generated reports with bank statements to ensure all financial transactions are accounted for accurately.
Customer Support & Dispute Resolution
- Query Management: Investigate and resolve customer discrepancies, such as disputes over billed amounts, missing credits, or incorrect items.
- Communication: Notify customers of upcoming or past-due payments via automated systems or direct contact.
- Issue Escalation: Act as the first point of contact for software-related billing bugs or technical issues, coordinating with IT or ERP vendors for quick fixes.
Reporting & Administration
- Audit Support: Generate reliable financial summaries, sales reports, and tax compliance data for internal audits and management review.
- Document Archiving: Securely maintain organized and digital records of all invoices, credit notes, and transactional history.
