Job Summary
The Receptionist serves as the first point of contact for patients and visitors, ensuring a smooth, professional, and compassionate front-desk experience. This role involves patient registration, appointment coordination, billing support, and handling inquiries while maintaining confidentiality and compliance with healthcare protocols.
Key ResponsibilitiesFront Desk & Patient Handling
- Greet and assist patients, attendants, and visitors courteously
- Manage patient check-in and check-out processes
- Maintain a calm and empathetic approach, especially in critical situations
Registration & Appointments
- Register new patients and update existing patient records in the system
- Schedule, confirm, and manage appointments for consultants and departments
- Coordinate with doctors, nurses, and departments for patient flow
Billing & Documentation
- Handle basic billing, receipts, and payment collection (cash, card, UPI)
- Maintain accurate records of transactions and patient details
- Ensure all documentation complies with hospital policies and audit requirements
Communication & Coordination
- Answer phone calls, emails, and walk-in inquiries professionally
- Provide accurate information regarding services, timings, and procedures
- Coordinate internally with departments like OPD, IPD, diagnostics, and pharmacy
Compliance & Confidentiality
- Maintain strict patient confidentiality (HIPAA-like/NABH standards)
- Follow hospital SOPs, safety, and hygiene protocols
- Ensure proper queue management and waiting area discipline
Required Qualifications
- Graduate in any discipline (preferred: healthcare/admin background)
- 1–3 years of experience in hospital/clinic/front office role
- Freshers with strong communication skills may also be considered
Skills Required
- Strong communication and interpersonal skills
- Basic computer knowledge (MS Office, hospital software/HIS)
- Multilingual ability (English, Hindi, Marathi preferred)
- Ability to handle pressure and multitask
- Professional appearance and behavior
Preferred Experience
- Experience in NABH-accredited hospitals
- Familiarity with Hospital Information Systems (HIS)
- Exposure to billing and insurance coordination
