Manager – Store Operations & Facilities (Non-Sales)
Reporting To Business Owner / Promoter
Location Chidambaram
Scope Textile & Restaurant outlets — operations, facilities, hostels, staff food, and
non-core procurement (excludes sales function)
Position Summary
Manage all non-sales operational functions across textile and restaurant outlets — daily store operations and
closing procedures, MEP upkeep, general maintenance, vehicle fleet, repairs, staff hostels, staff food, non-core
procurement, and government/PRO liaison — ensuring outlets run safely, compliantly, and without disruption.
Key Responsibilities
Store Operations & Closing
- Supervise daily opening and closing checklists — security, cash box handoff to accounts, equipment
shutdown
- Ensure closing SOPs followed: lights/AC off, kitchen equipment safely shut down, doors/shutters locked,
alarm set
- Daily walkthrough to check cleanliness, safety hazards, and equipment condition before closing
- Maintain closing logs/registers for each outlet
Security
- Oversee security guard deployment and shift coverage across outlets, hostels, and warehouse/storage areas
- Monitor CCTV systems — uptime, footage retention, and periodic review for incidents
- Ensure secure cash handling and cash-in-transit procedures between outlets and bank
- Manage access control — keys, alarm codes, and after-hours entry authorization
- Investigate theft, pilferage, or security incidents and report to ownership with corrective action
- Coordinate with security agency/vendor for guard contracts, training, and performance
MEP (Mechanical, Electrical, Plumbing)
- Oversee upkeep of electrical systems, wiring, DB boards, and backup power (generator/inverter)
- Monitor plumbing systems — water supply, drainage, kitchen plumbing (restaurant)
- Schedule preventive checks for HVAC/AC units across outlets
- Coordinate with licensed electricians/plumbers for repairs and compliance checks
General Maintenance
- Maintain building upkeep — flooring, fixtures, signage, furniture, false ceiling, painting cycles
- Manage AMC (annual maintenance contracts) for AC, fire safety equipment, pest control, lifts (if any)
- Maintain a preventive maintenance calendar across all outlets
- Track and close maintenance tickets/complaints raised by outlet staff
Vehicle Management
- Maintain company vehicle(s) — servicing schedule, insurance renewal, permits, fuel logs
- Track vehicle usage for goods transport/deliveries between outlets or vendors
- Ensure driver compliance (license validity, documents) if applicable
Repairs & Maintenance (R&M)
- Coordinate breakdown repairs — kitchen equipment, refrigeration, POS/billing hardware, security systems
(CCTV)
- Maintain vendor contacts for urgent repair needs and track service response times
- Track R&M spend against budget; flag recurring issues needing capital replacement rather than repeat repair
PRO / Government Liaison
- Handle license renewals — trade license, FSSAI, fire NOC, shop & establishment, signage permissions
- Liaise with local municipal, electricity board, and other government offices for approvals/inspections
- Maintain a compliance tracker with renewal due dates for all licenses and NOCs
- Represent the business for routine inspections and documentation submissions
Staff Hostels / Accommodation
- Oversee upkeep of staff hostel(s) — cleanliness, repairs, furniture, bedding
- Manage occupancy allocation and hostel rules/discipline enforcement
- Coordinate utility payments (electricity, water) and housekeeping staff/vendor for hostels
- Handle maintenance complaints and ensure basic safety (fire extinguishers, secure locks, lighting)
- Maintain hostel asset register and periodic inspection checklist
Staff Food
- Oversee arrangements for staff meals — in-house cooking or vendor-supplied tiffin/catering
- Monitor food quality, hygiene, and portion consistency
- Manage kitchen staff (if in-house) or vendor contract and payment cycle (if outsourced)
- Track staff meal cost per head against budget
- Handle staff feedback/complaints on food quality
Non-Core Procurement
- Handle purchase of non-merchandise items — stationery, housekeeping supplies, uniforms, packing material,
hostel/kitchen consumables
- Maintain approved vendor list and comparative rate checks for recurring purchases
- Raise and track purchase orders for non-core items separate from merchandise/raw material procurement
- Monitor consumption patterns to avoid overstocking/wastage
- Maintain procurement register with vendor, item, cost, and approval trail
Administration Support
- Maintain asset register (equipment, furniture, vehicles) with maintenance history
- Process maintenance/repair vendor bills and forward for payment approval
- Maintain petty cash for minor repairs and site expenses
Requirements
- Diploma/degree in facilities management, engineering, or related field (or equivalent hands-on experience)
- 4+ years managing facilities/operations across retail or F&B outlets
- Working knowledge of electrical, plumbing, and HVAC systems
- Experience liaising with government departments and vendors
- Valid driving license preferred
- Fluent in Tamil and English
