Job Title: Service Coordinator
About the Role
We are looking for a highly organized and proactive Service Coordinator who will be the backbone of our Local Service Team. This role is critical in ensuring smooth day-to-day service operations, effective coordination between engineers, customers, vendors, and internal departments, and accurate tracking of service activities through ERP systems. Roles & Responsibilities
· Take complete ownership of coordination and management of the Local Service Team.
· Monitor pending service calls, parts availability, and demo/pre-sales activities through GSX and update the same in ERP.
· Conduct daily discussions with the Service Manager / Service In-Charge regarding pending calls, call allocation, and feedback on engineers’ previous-day activities.
· Ensure timely collection of complete call reports from engineers to log or close service calls in ERP.
· Verify warranty status of customer machines and understand the issue clearly before assigning calls to engineers.
· Coordinate with multiple departments for service-related activities such as Demo, Pre-Sales, AMC, and Warranty Replacements.
· Track engineers’ movement, call reports, tools, materials, and accessories.
· Monitor the repair status of customer machines available in-office and provide regular updates to customers.
· Ensure engineers are provided with a complete checklist before installations or service calls (customer contact details, address, machine details, etc.).
· Maintain updated records of standby machines and machines under in-house repair.
· Manage and maintain a list of third-party vendors for repair of monitors, power supplies, printers, and other components.
· Coordinate with reception for material collection and delivery, and with office staff to ensure proper packing of dispatched items.
· Create Service Orders (SO) for service calls and third-party sales in ERP, and follow up on service-related customer payments.
· Maintain conveyance sheets for engineers and prepare daily, monthly Excel reports on call status, sales, and service charges.
· Keep detailed records of engineers’ tool bags, accessories, and service equipment.
· Share timely service-related updates, reports, and follow-ups with Service Managers and concerned stakeholders.
· Maintain accurate records of inward and outward service materials, machines, courier dispatches, and service databases.
Requirements
· Graduate / Diploma holder in any discipline (technical background preferred).
· 2–4 years of experience in service coordination, service operations, or technical support roles.
· Hands-on experience with ERP systems, MS Excel, and service documentation.
· Strong coordination, communication, and follow-up skills.
· Good understanding of warranty processes, service workflows, and field service operations.
· Detail-oriented with strong organizational and record-keeping abilities.
