Position: Executive Assistant to Managing Director (MD)Key Roles & Responsibilities
- Calendar & Schedule Management
- Manage MD’s daily calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings efficiently.
- Prioritize appointments and ensure timely reminders.
- Communication Management
- Handle emails, phone calls, and correspondence on behalf of the MD.
- Draft professional emails, letters, reports, and presentations.
- Maintain confidentiality in all communications and documents.
- Meeting Coordination
- Arrange meetings, prepare agendas, and circulate MOM (Minutes of Meeting).
- Follow up with departments for action points and pending tasks.
- Coordinate board meetings and management reviews.
- Travel & Accommodation Arrangements
- Book flights, hotels, transport, and prepare travel itineraries.
- Manage travel expenses and reimbursement records.
- Documentation & Reporting
- Maintain important files, records, and confidential documents.
- Prepare MIS reports, presentations, dashboards, and management summaries.
- Ensure proper documentation and record tracking.
- Coordination with Departments
- Act as a bridge between the MD and various departments.
- Coordinate with HR, Finance, Operations, Clinical, and Administration teams.
- Ensure timely execution of MD’s instructions.
- Administrative Support
- Handle office administration tasks related to the MD’s office.
- Manage visitors, vendors, and important stakeholders professionally.
- Organize events, conferences, and business meetings.
- Follow-up & Task Monitoring
- Track ongoing projects and pending assignments.
- Ensure deadlines are met and updates are shared with the MD regularly.
- Escalate critical issues when required.
- Confidentiality & Professionalism
- Maintain strict confidentiality regarding company matters.
- Handle sensitive information with integrity and discretion.
- Data Management & MIS
- Maintain databases, reports, and management trackers.
- Analyze information and provide summarized insights to the MD.

Qualification
- Graduate/Postgraduate in any discipline
- MBA preferred
Experience
- 2-3 years experience as Executive Assistant/Personal Assistant to senior management or MD level.
