To ensure the smooth day-to-day administration of the school by managing attendance, housekeeping, facility maintenance, purchases, parent communication, records, and overall operational efficiency.
Key Responsibilities
1. Attendance & Records
- Maintain daily attendance of staff and students.
- Monitor staff punctuality and leave records.
- Prepare monthly attendance reports for the Director.
- Maintain all administrative registers and documentation.
2. Housekeeping & Cleanliness
- Supervise housekeeping staff and ensure classrooms, washrooms, reception, kitchen, and outdoor areas remain clean and hygienic.
- Conduct daily cleanliness inspections.
- Ensure adequate cleaning supplies are available.
- Maintain school hygiene as per safety standards.
3. Building Maintenance
- Monitor all civil, electrical, plumbing, carpentry, AC, and repair work.
- Coordinate with vendors and contractors for maintenance.
- Ensure timely completion of repair and maintenance jobs.
- Report any safety hazards immediately.
4. Purchase & Inventory Management
- Procure stationery, teaching aids, housekeeping supplies, pantry items, and maintenance materials.
- Obtain quotations and negotiate with vendors.
- Maintain inventory and stock registers.
- Prevent shortages and unnecessary purchases.
5. Parent Communication
- Call parents for school events, PTMs, workshops, celebrations, admissions, and fee reminders.
- Maintain updated parent contact records.
- Record responses and follow up where required.
6. Vendor Management
- Coordinate with all external service providers.
- Ensure timely deliveries and quality of materials.
- Verify bills before submission for payment.
7. Event Administration
- Coordinate logistics for school events.
- Arrange seating, refreshments, décor, housekeeping, and support staff.
- Ensure smooth execution of all school functions.
8. Safety & Compliance
- Ensure fire safety equipment and emergency exits are functional.
- Conduct routine safety inspections.
- Ensure compliance with school policies and operational procedures.

- 100% accuracy in attendance records.
- School cleanliness maintained at all times.
- Timely completion of maintenance work.
- Zero stock-outs of essential supplies.
- Parent calls completed within assigned timelines.
- Cost-effective purchasing and vendor management.
