Role Overview
The Assistant Manager to the General Manager will work directly with Inderjeet SIngh (General Manager), who oversees day-to-day operations across production and client order workflows. This is a high-accountability, high-visibility role. The incumbent will act as the GM’s operational right hand — ensuring complete visibility across departments, tracking order lifecycles from enquiry to delivery, and keeping systems, data, and communications running seamlessly.
This role requires someone who is process-driven, proactive, and comfortable bridging communication between production teams, client servicing, vendors, and technology platforms (ERP & CRM).
Key Responsibilities
1. Production & Order Workflow Management
- Track and monitor end-to-end order workflows — from client brief and purchase order to production, QC, dispatch, and delivery
- Coordinate with production teams, vendors, and sourcing teams to ensure timelines are met
- Flag delays, bottlenecks, or deviations in production schedules and escalate to the GM proactively
- Maintain a live, accurate dashboard of all active orders across categories, with particular focus on apparel
- Support smooth handoffs between departments: sales, procurement, production, accounts, and logistics
2. ERP & CRM Oversight
- Log into and operate the company's ERP and CRM systems daily to update order status, track progress, and generate reports
- Maintain data hygiene — ensure order records, client information, and workflow stages are accurate and current
- Generate weekly and monthly reports on order status, pending deliverables, vendor performance, and team output for the GM's review
- Support the GM in using system data to make operational decisions
3. Apparel Category Support
- Assist in overseeing apparel production workflows — including fabric sourcing, embroidery/printing co-ordination, size-set approvals, and packing
- Liaise with apparel vendors and production partners to ensure quality standards and delivery timelines are adhered to
- Maintain a working knowledge of apparel terminology, production processes, and common quality benchmarks
- Support sampling co-ordination and client approvals for customised apparel orders
4. GM Support & Communication
- Stay aware of the GM's follow-ups, and action item tracking
- Draft correspondence, meeting notes, status updates, and internal communications on behalf of the GM
- Prepare briefs, presentations, and operational summaries for internal reviews and client meetings
- Act as the first point of contact for internal teams seeking the GM's inputs or decisions
5. Cross-Department Coordination
- Serve as the operational nerve centre — ensuring all departments are aligned on timelines, priorities, and deliverables
- Follow up on pending actions across teams and maintain a tracker of open items with clear owners and deadlines
- Attend key operational and client review meetings, take notes, and ensure action items are closed
Qualifications & Skills
Educational Background
- Bachelor's degree in Business Administration, Operations, Supply Chain, Textile/Apparel Management, or a related field
- Postgraduate qualification is a plus but not mandatory
Experience
- 3–7 years of experience in operations, production coordination, executive assistance, or a similar role
- Prior exposure to the apparel, textiles, or corporate gifting industry is strongly preferred
- Experience working with ERP systems (e.g., SAP, Tally, or equivalent) and CRM platforms is essential
Technical Skills
- Proficient in MS Office Suite — Excel (reporting & tracking), Word, PowerPoint, Outlook
- Comfortable with ERP and CRM software — ability to learn new systems quickly
- Familiarity with project management or workflow tools (e.g., Asana, Monday.com, Notion) is an advantage
- Good typing speed and digital communication proficiency (email, WhatsApp Business, Teams/Zoom)
Soft Skills
- High attention to detail and a structured, process-oriented mindset
- Strong written and verbal communication in English and Hindi
- Ability to manage multiple priorities simultaneously without dropping the ball
- Proactive, with a strong sense of ownership and follow-through
- Discreet, professional, and able to handle confidential business information
- Comfortable working in a fast-paced, high-volume corporate gifting environment
