Job Purpose
To ensure smooth and efficient administration of the Rewari construction site by coordinating with the Head Office HR & Administration team, maintaining employee discipline and attendance, managing petty cash, handling statutory and government-related work, and providing complete administrative support for uninterrupted site operations.
Key Result Areas (KRAs)1. Site Administration
- Manage all day-to-day administrative activities at the construction site.
- Ensure smooth functioning of the site office and administrative processes.
- Maintain office infrastructure, furniture, stationery, office equipment, and utilities.
- Ensure proper housekeeping, cleanliness, security, and maintenance of the site office.
2. HR Coordination with Head Office
- Act as the primary liaison between the Rewari Site and the Head Office HR team.
- Ensure timely implementation of HR policies, circulars, and company procedures.
- Coordinate employee onboarding, documentation, confirmations, transfers, resignations, and exit formalities.
- Provide regular manpower and administrative updates to the Head Office.
3. Attendance & Leave Management
- Maintain daily attendance records of all site employees.
- Resolve attendance, biometric, and leave-related queries.
- Prepare and submit attendance, leave, overtime, and absentee reports within prescribed timelines.
- Coordinate with HR for payroll-related attendance accuracy.
4. Employee Administration & Welfare
- Address daily administrative concerns of employees.
- Coordinate employee accommodation, transportation, uniforms, ID cards, and welfare activities.
- Maintain employee records and ensure all documentation is updated.
- Support management in maintaining employee engagement and discipline.
5. Office Discipline & Decorum
- Ensure proper office discipline, professional conduct, and workplace decorum.
- Monitor punctuality and adherence to company policies.
- Report cases of misconduct, indiscipline, or policy violations to the Head Office HR.
- Promote a safe, organized, and professional work environment.
6. Petty Cash Management
- Maintain and manage site petty cash as per company policy.
- Ensure all expenses are supported with bills, vouchers, and approvals.
- Prepare periodic petty cash statements and submit them to the Accounts Department.
- Maintain proper records for audit purposes.
7. Government & Statutory Liaison
- Visit government departments and local authorities whenever required.
- Coordinate for statutory approvals, registrations, renewals, and documentation.
- Liaise with labour offices, municipal authorities, electricity, water, police, and other government departments as required.
- Ensure timely completion of all official government-related work.
8. Vendor & Facility Management
- Coordinate with local vendors for administrative purchases and services.
- Monitor housekeeping, security, pantry, maintenance, and facility service providers.
- Ensure timely procurement of office supplies and administrative materials.
- Verify vendor bills before forwarding them for payment.
9. Compliance & Documentation
- Maintain all administrative registers, files, and statutory records.
- Ensure compliance with company policies and applicable labour regulations.
- Keep employee and administrative documents organized for audits and inspections.
- Assist in internal and external audits whenever required.
10. Coordination with Site Departments
- Work closely with Project, Engineering, Accounts, Procurement, Store, and HR teams.
- Provide administrative support for meetings, inspections, management visits, and events.
- Coordinate logistics, accommodation, travel, and vehicle arrangements.
11. Reporting & MIS
- Submit daily, weekly, and monthly MIS reports to the Head Office.
- Prepare reports related to attendance, manpower, petty cash, administration, and compliance.
- Highlight operational issues and recommend corrective actions.
12. Additional Responsibilities
- Perform any administrative duties assigned by the Management from time to time.
- Ensure confidentiality of company records and employee information.
- Be available to handle urgent administrative requirements beyond regular office hours whenever necessary.
Key Performance Indicators (KPIs)
- 100% accurate and timely attendance reporting.
- Timely resolution of attendance and employee administration queries.
- Proper maintenance and accounting of petty cash with zero audit observations.
- Effective coordination with Head Office HR and other departments.
- Timely completion of government office work and statutory documentation.
- Well-maintained office discipline, housekeeping, and site administration.
- Timely submission of all MIS and administrative reports.
- High level of employee support and administrative efficiency.
- Compliance with company policies and statutory requirements.
- Zero major administrative lapses affecting site operations.
Preferred Candidate
- Retired personnel from Government Departments, Defence Services, PSUs, or experienced administrative professionals will be preferred.
- Minimum 8–15 years of experience in Administration, preferably at construction/project sites.
- Strong knowledge of site administration, labour management, attendance systems, petty cash handling, and government liaison.
- Good communication, leadership, coordination, and problem-solving skills.
- Proficiency in MS Office (Excel, Word, and Email).
- Ability to work independently and coordinate effectively with the Head Office and Site Management.
Pay: ₹20,000.00 - ₹40,000.00 per month
