Role Overview
We are seeking a dynamic and detail-oriented MICE Booking & Contracting Executive to manage hotel bookings, supplier negotiations, and contracting for Meetings, Incentives, Conferences, and Exhibitions (MICE). The ideal candidate will have strong coordination and negotiation skills, with the ability to secure competitive pricing and ensure seamless execution of group travel and event requirements.
Key Responsibilities
MICE & Group Bookings
- Manage group bookings for meetings, conferences, incentives, and corporate events.
- Coordinate with hotels, resorts, and venues for room blocks, meeting spaces, and banquet arrangements.
- Handle the complete booking cycle including inquiries, confirmations, amendments, and follow-ups.
- Prepare and maintain rooming lists, booking trackers, and related documentation.
Hotel Rate Negotiation
- Negotiate competitive room rates, banquet packages, and event pricing with hotels and venues.
- Build and maintain strong relationships with hotel chains, resorts, Destination Management Companies (DMCs), and suppliers.
- Compare multiple hotel proposals and present the most suitable and cost-effective options.
- Secure special corporate and MICE-negotiated rates for clients and events.
Contracting & Agreements
- Draft, review, and manage hotel contracts, group booking agreements, and event-related contracts.
- Ensure clarity on pricing, cancellation policies, payment schedules, and service deliverables.
- Maintain and update a database of contracted hotels, negotiated rates, and supplier agreements.
- Monitor contract validity and coordinate timely renewals.
Vendor & Supplier Coordination
- Coordinate with hotels, transport vendors, event suppliers, and DMC partners for smooth event execution.
- Ensure timely arrangements for accommodation, meeting spaces, F&B requirements, transportation, and event logistics.
- Resolve supplier-related issues and ensure service commitments are met efficiently.
Documentation & Reporting
- Maintain accurate booking records, supplier contracts, negotiated rate sheets, and operational trackers.
- Monitor inventory availability, rate validity, and contract timelines.
- Support the sales and servicing teams with quotations, hotel comparisons, and proposals.
Required Skills
- Strong hotel negotiation and contracting skills

- Proficiency in MS Excel, MS Word, and email communication
Experience
- 2–5 years of experience in MICE bookings, hotel contracting, or travel operations.
- Prior experience with travel companies, corporate travel agencies, or MICE operators will be preferred.
Education
- Bachelor’s Degree in Tourism, Hospitality, Business Administration, or a related field preferred.

Pay: ₹30,000.00 - ₹40,000.00 per month
