We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive administrative and strategic support to the Director. The ideal candidate will act as a gatekeeper, problem-solver, and right-hand support, ensuring the Director’s time is optimized and operations run smoothly. This role requires exceptional discretion, communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Operational Support
Manage the Director’s calendar, schedule meetings, appointments, and travel arrangements while anticipating conflicts and prioritizing effectively.
Prepare and organize documents, reports, presentations, and briefing materials for meetings, board sessions, and external engagements.
Handle confidential and sensitive information with the highest level of professionalism and discretion.
Coordinate logistics for internal and external events, conferences, and high-level meetings.
Act as the primary point of contact between the Director and internal teams, clients, partners, and stakeholders.
Communication & Correspondence
Draft, review, and edit professional emails, letters, memos, and reports on behalf of the Director.
Screen and prioritize incoming communications (calls, emails, messages) and respond or escalate as appropriate.
Prepare minutes of meetings and follow up on action items.
Project & Strategic Support
Assist with special projects, research, and data analysis as required.
Track key performance indicators, deadlines, and strategic initiatives.
Support budget tracking, expense reporting, and invoice processing for the Director’s office.
Liaise with other departments to ensure seamless execution of the Director’s directives.
Travel & Logistics
Arrange complex domestic and international travel itineraries, including flights, accommodation, visas, and ground transportation.
Prepare detailed travel briefs and manage related expenses and reimbursements.
Required Qualifications & Experience
Bachelor’s degree in Business Administration, Management, or a related field (Master’s preferred).
2–5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
Proficiency in Microsoft Office Suite (especially Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Google Workspace, or similar).
Excellent command of English (spoken and written). Additional language skills are a plus.
