Job Summary:
The Office Coordinator will be responsible for ensuring smooth day-to-day administrative and coordination activities within the interior design office. This role involves handling communication between clients, designers, vendors, and site teams while maintaining proper documentation and workflow efficiency.
Key Responsibilities:1. Office Administration
- Manage daily office operations and ensure smooth functioning
- Maintain office records, files, and documentation (both physical & digital)
- Handle incoming calls, emails, and correspondence
- Schedule meetings, appointments, and site visits
2. Coordination & Communication
- Act as a bridge between clients, designers, project managers, and site teams
- Follow up on project status, updates, and timelines
- Coordinate with vendors, suppliers, and contractors
- Assist in client communication and updates
3. Project Support
- Support project team in documentation and reporting
- Maintain project files, drawings, BOQs, and approvals
- Track project progress and update internal reports
- Assist in preparing quotations, proposals, and invoices
4. Procurement & Vendor Handling
- Coordinate material orders and deliveries
- Maintain vendor database and contact details
- Follow up on purchase orders and payments
- Ensure timely availability of materials for projects
5. Reporting & Documentation
- Prepare daily, weekly, and monthly reports
- Maintain attendance, staff records, and office expenses
- Ensure proper documentation for all projects and transactions
6. Basic Accounts Support
- Assist in invoice tracking and payment follow-ups
- Coordinate with accounts team for billing and expenses
Required Skills:
- Good communication and interpersonal skills
- Strong organizational and multitasking abilities
- Knowledge of MS Office (Word, Excel, Outlook)
- Basic understanding of interior design workflow
- Ability to coordinate with multiple teams efficiently
Qualifications:
- Bachelor’s degree in any field (Administration / Business preferred)
- 1–3 years of experience in office coordination / admin role (Interior or construction field preferred)
Preferred Skills:
- Experience in interior design or construction industry
- Familiarity with BOQ, drawings, and project coordination
- Basic accounting knowledge
Working Conditions:
- Office-based role with occasional site visit coordination
- May require handling multiple projects simultaneously
Job Types: Full-time, Permanent
Pay: ₹15,000.00 - ₹20,000.00 per month
