Job Summary
We are looking for a responsible and computer-proficient Back Office Executive to support the daily administrative and documentation work of our organisation. The candidate should have good working knowledge of Microsoft Excel, Word and PowerPoint and should be comfortable using modern AI tools to improve productivity.
The role involves preparing reports, maintaining records, creating documents and presentations, managing digital files and coordinating routine office activities. We are a small team, so we require someone who is dependable, organised, willing to learn and comfortable handling different responsibilities.
Key Responsibilities
- Enter, update and maintain business data in Microsoft Excel.
- Prepare daily, weekly and monthly reports.
- Use Excel formulas, filters, sorting, tables, charts and PivotTables.
- Create and format professional documents, letters and reports in Microsoft Word.
- Prepare clear and presentable PowerPoint presentations.
- Use AI tools such as ChatGPT and similar applications for drafting, summarising, research, data organisation and presentation preparation.
- Verify AI-generated information before using it in official work.
- Maintain proper digital and physical records of documents.
- Organise files, folders, invoices, reports and other business information.
- Draft professional emails, letters and routine business communications.
- Coordinate with team members, clients and vendors when required.
- Perform internet research and collect relevant information.
- Follow up on pending documents, reports and assigned tasks.
- Maintain the confidentiality of company and client information.
- Assist the management with other routine administrative and back-office work.
Required Skills
- Good working knowledge of Microsoft Excel.
- Ability to use common Excel formulas such as SUM, IF, COUNTIF, VLOOKUP/XLOOKUP and basic data analysis tools.
- Good knowledge of Microsoft Word and PowerPoint.
- Familiarity with AI tools such as ChatGPT, Microsoft Copilot, Gemini or similar platforms.
- Good internet research and email-writing skills.
- Reasonable written and verbal communication in Hindi and English.
- Good typing speed and attention to detail.
- Ability to organise work and complete tasks within deadlines.
- Willingness to learn new software and processes.
- Honest, responsible and professional attitude.
Education and Experience
- Graduate in any discipline preferred.
- Candidates with B.Com, BBA, BCA, B.Sc. or Diploma in Engineering or an equivalent qualification may apply.
- Candidates with strong computer skills may apply.
- Minimum 2-3 years experience
- Previous back-office, administrative, MIS, documentation or office-assistant experience will be an advantage.
